(Contingent upon available funding): 14.00 - 20.00, Hourly Work Schedule: Monday-Friday, 8-5, may work weekends and evenings Faculty Appt Period: Job Summary: We are seeking a dynamic and organized Administrative Assistant to join our LaunchPad Center for Advanced Air Mobility located at the Helmerich Research Center at the OSU Tulsa Campus. The successful candidate will play a crucial role in coordinating marketing, social media, and event planning activities in collaboration with the main campus Oklahoma Aerospace Institute for Research and Education (OAIRE) and OSU Tulsa staff. Proficiency in productivity applications, especially the Microsoft Office suite, is essential. Additionally, the Administrative Assistant will provide vital administrative support to the LaunchPad Center Director.Administrative Support:Provide comprehensive administrative support to the Center Director, including calendar management, travel arrangements, and correspondence.Assist in the preparation of reports, presentations, and documentation as needed.Marketing and Communication:
Collaborate with OAIRE and OSU-Tulsa staff to develop and implement marketing strategies for programs, events, and activities.Coordinate with OAIRE marketing specialists to update social media accounts, create content, and ensure consistent branding across various platforms.Event Planning:Coordinate logistics for events, workshops, and programs, including venue selection, catering, and attendee registration with OSU-Tulsa marketing staff.Collaborate with internal and external stakeholders to ensure successful event execution.Communication Liaison:Serve as a point of contact between OAIRE and Tulsa Campus staff, facilitating effective communication and information flow.Ensure timely dissemination of relevant updates and announcements. Manage and maintain calendars and schedules for marketing and event coordination staff.Productivity Applications:Demonstrate proficiency in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook) to create and edit documents, spreadsheets, presentations, and emails.Assist staff with software-related inquiries and provide basic technical support as needed.Resource Management:Assist in budget tracking and reporting related to administrative activities.Manage office inventory and supplies for the LaunchPad center, ensuring that resources are stocked and readily available. Minimum Qualifications:
High School/GED
Five years of proven experience in administrative roles, preferably in an academic or research environment.
Post-secondary education may substitute for years of required experience.
Strong organizational and multitasking abilities, with attention to detail.Excellent communication skills, both written and verbal.Proficiency in Microsoft Office suite and familiarity with productivity tools.Ability to work collaboratively with diverse teams across different locations.Preferred Qualifications:
Associate's degree in a related field.
Five to seven years in administrative roles.
