Responsibilities Include:
- General Administrative
- Perform general typing duties
- Inventory and order office and janitorial supplies, business cards, letterhead, envelops and other printed material.
- Coordinate and manage coffee supply vendor, shredding services, window washers and other services as needed.
- Manage office archiving.
- Daily maintenance of conference rooms, training rooms and breakrooms.
- Perform special projects and other duties as requested including filing, errands, etc.
- Front Desk
- Receive and distribute incoming phone calls. Maintain complete understanding and control of switchboard operations.
- Receive visitors and direct accordingly.
- Receive and distribute mail.
- Prepare outgoing mail and coordinate package pickup and drop off services.
- Human Resources
- Assist in recruitment and selection process including job postings, candidate screenings, and scheduling interviews.
- Coordinate new hire drug tests and physicals.
- Complete Verifications of Employment.
- Assist in onboarding new employees by preparing and organizing new hire paperwork, assisting with orientation sessions, and facilitating employee training sessions.
- Act as the main benefit contact to include enrolling newly eligible employees, entering enrollments in respective systems, assisting with benefit audits, etc.
- Create, update, maintain and distribute new hire packets for Union Employees.
- Receive new hire packets, enter into ERP & payroll system and create new employee files.
- Cross-train on payroll related functions and back-up payroll as needed.
- Spearhead employee engagement activities such as organizing team building activities, employee appreciation events, and employee surveys.
- Assist in other HR administration activities including, but not limited to, policy review and development, editing job descriptions, maintaining employee records and files and auditing required forms.
- Provide additional support to other HR-related tasks as assigned.
- All other duties as assigned.
Qualifications/Experience:
- Highschool Diploma, or equivalent. Associate's or Bachelor's degree preferred.
- Prior professional experience in an administrative capacity required. Prior experience in Human Resources preferred.
- Strong written and verbal communications skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent organizational and time management skills.
- Ability to work both independently and collaboratively in a team environment.
- Computer Proficiency in Microsoft Office Suite (Work, Excel, Outlook).
