TITLE: Administrative Assistant
JOB CLASSIFICATION: Full time, 40 hours/week; Non-Exempt
REPORTS TO: Director of Finance
JOB PURPOSE: To provide administrative support for the agency.
JOB RESPONSIBILITIES:
Serve as backup to primary reception duties; including answering phones, directing calls and greeting visitors and clients in a professional manner. Maintain visitor and volunteer sign-in logs while on reception duties.
Provide support to adaptive equipment projects to include maintaining agency spreadsheets, vendor contracts, billing documents and survey data.
Assist with all agency records to include filing, scanning, electronic document naming and dropping.
Assist with agency satisfaction process to include production of mailing, survey data entry and compiling data.
Receive packages and mail and distribute appropriately.
Download and distribute faxes.
Assist employees with copier usage and issues.
Provide administrative support to Executive Director.
Maintain the lobby and copy/mail room areas.
Work and communicate in a professional manner.
Maintain clean and orderly environment.
All other jobs responsibilities as specified by supervisor.
Familiarize self with and follow Agency Policies and Procedures.
Follow all personnel policies and procedures.
JOB SPECIFICATIONS:
EDUCATION/EXPERIENCE: High school diploma preferred. General clerical knowledge preferred. Proficiency in computer use and Microsoft Office required.
MISCELLANEOUS: Must be able to sit and/or stand for extended periods of time; reach, bend and/or stoop; lift and carry up to 10 pounds.
