Pay Range: $19.70 - $24.65
- As our Administrative Assistantfor our Facilities and Safety teams, you will help the team by developing procedures, researching information and manage multiple financial and operational priorities related to the library Facilities and projects associated with the operations of a large library district.
Every day you will use your organization and communication skills to keep the business in order and maintain many administrative assignments. You may be generating monthly budget reports, processing invoices, reconciling purchase statements and purchase orders or dig deep into researching a topic needed to assist the team in solving a problem. You may be ensuring inventory is maintained to keep your colleagues functioning in their roles or learning how the financial systems work for you in your role. You will be part of a team that regularly communicates using email, text, zoom, and face to face communications to keep each other up to date on projects and assignments within the team.
To thrive in this job, you must enjoy multi-tasking, troubleshooting issues, collaborating, researching and keeping the team organized and on-top of their deliverables and communicating often of the ever-changing needs of the library district's facility and Safety requests.
You also must have a desire to make a difference in the lives of our customers whether internal or external, and with a commitment to making sure any problem is solved in its entirety, following up whenever something needs it and finding creative ways to resolve challenges that come up.
You enjoy being organized, and you have the skills to keep all business records updated, where they need to be and can use technology to make things easier for everyone plus you are unwilling to give up until you find an answer if one is needed. You strive to complete all tasks and assignments well before their due date.
You seek opportunities to improve and or streamline processes and procedures with team input. You are timeline driven on assigned tasks and focus on getting the job completed expediently.
You have a team-focused attitude. You extend support and kindness to colleagues while acting independently with minimal oversight and take the initiative to learn on your own.
You are reliable and on-time and know the impact when you're not. You can anticipate when you are needed and can determine what needs to be done next.
You must have:- One year of Administrative Assistant experience preferably in a facilities or maintenance environment.
- Demonstrated aptitude using Microsoft Office products in the cloud including file management and file sharing. Intermediate skills in Outlook, Word, Excel, and PowerPoint.
- Demonstrated aptitude using financial software.
- Ability to find answers to things you do not know.
- Positive contributor and supportive team member and invested in the success of teammates.
