The Administrative Assistant works directly with the faculty to assist with all tasks required to ensure the office runs efficiently.
Job duties include:
Main contact for administrative needs of the Department of Educational Studies and adjunct faculty.
Provide assistance, direction, and guidance to faculty, staff, and students regarding UTM policies and procedures.
Answers main telephone for the department.
Schedules appointments and maintains calendar for chair.
Completes general office functions including copying, filing, etc.
Maintain functionality of all office equipment such as printers and copiers. Contact vendors when necessary for service.
Assign office spaces and update facilities inventory annually.
Verify annual equipment and key inventory.
Assist with preparation and distribution of departmental reports.
Reconcile department budgets.
Responsible for procurement card purchases and maintains receipts for reconciliation.
Order general office supplies.
Maintain order in storage rooms.
Responsible for preparing and entering travel requests and expense reports in Concur.
Responsible for preparing and entering curricular changes into Curriculog.
Oversees Graduate student, student worker, and work study students.
Enters course schedule into Banner.
Entering payroll requisitions for office workers and adjuncts.
Process paperwork for full-time and part-time hires.
Interact with students including adding and dropping classes and assigning advisors.
Assisting faculty with advising by maintaining curriculum check-sheets, special request forms, and other advising forms.
Update and maintain files and databases of current and prospective students and alumni.
Assist faculty and adjunct instructors with class materials, submitting textbook orders, grant materials, and student club materials.
Assist faculty with graduate and undergraduate curricular requests.
Assist in planning and execution of meetings, workshops, and special events.
Other duties as assigned.
Minimum Qualifications:
High school diploma (or equivalent) with 2 years of relevant experience, or an equivalent combination of education, training, and experience.
Attention to detail and task oriented.
Ability to multi-task and complete projects promptly.
Self-motivated and ability to work without direct supervision.
Ability to maintain confidentiality.
Ability to communicate clearly, concisely, and correctly in both written and verbal forms.
Preferred Qualifications
Ability to demonstrate knowledge of Banner, IRIS, Microsoft Word, and Excel.
Experience in higher education.
