Job Summary
We are looking for an onsite Administrative Assistant to join our growing team. We are seeking a candidate that is highly organized, has strong customer service skills and attention to detail, and enjoys working in a fast-paced manufacturing environment. Performs administrative duties and receptionist duties within our OKC location.
Our Admin Assistant will serve as the facility receptionist, greeting customers, responding to employee general questions, and processes the mail. Provides administrative support to the Human Resources department. Issue Door/ID badges to employees, updates Teams phone directory and email distribution list. Works with leaders to coordinate employee engagement activities, schedule meetings in outlook, and reserves conference rooms, keeps up with office supply stock.
Job Responsibilities:
- Greet customers, welcome and assist with conference room assignments/reservations.
- Receive mail daily and distribute to the office team.
- Monitor office supply stock, and reorder as necessary with process.
- Provide administrative support to Human Resource function, from backup interview coordination, clearance communication to new hire employees, and overall communication updates (TV/boards/postings) from HR Business Partners to employee population.
- Assist with employee engagement activities, reservations, coordination of events, purchasing and/or picking up food etc. Providing above and beyond employee experience and participation.
- Maintain front desk and conference room order.
- Maintain employee breakroom stock, assist with vendor communication for outages and issues.
- Update employee distribution email lists, and employee phone directory.
- Back up for our HR assistant as needed.
- Other duties as assigned by manager.
Position Qualifications
Requirements:
- High school diploma required
- At least two years working in an administrative capacity within industrial industry setting required.
- Self-motivated, highly organized and detail-oriented
- Professional verbal and written communication skills
- Flexibility to be onsite around employee events support for all shifts.
