Administrative Assistant and Office Coordinator
Job Description
As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks the Administrative Assistant and Office Coordinator promotes Marian University's Catholic Franciscan mission and identity by performing a variety of professional and administrative duties that facilitate the day-to-day operations of Mission and Ministry. The Administrative Assistant and Office Coordinator directly supports the vice president of Mission and Ministry, and supports the the offices of University Ministry, Catholic Franciscan Leadership Programs, the and the university chaplain. The Administrative Assistant and Office Coordinator assists in program planning and development; interprets, monitors, and analyzes information regarding operating policies and procedures; administers budgets; and manages student worker personnel; resolves problems that have a significant impact on the overall goals of the department.
Essential Duties and Responsibilities:
  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan intellectual traditions in courses, programs, and services.
  • Performs a wide variety of clerical, budgetary/financial, technical, administrative, and Office support duties in support of the vice presidents of Mission and Ministry and Mission Integration.
  • Hires and manages student worker personnel, including student wedding coordinators, who provide support to all Mission and Ministry departments; works with department heads to create and communicate student worker policies and procedures; cultivates a supportive environment for student workers while also providing professional growth opportunities.
  • Supports Mission and Ministry departments in event planning and calendaring.
  • Collects and manages information from all departments in Mission and Ministry for the purpose of providing up to date data regarding initiatives and measurements of success in achieving established goals in each area.
  • Provides customer service, information, and assistance, answering questions from students, faculty, staff and the general public.
  • Organizes, edits, and publishes the weekly Mission and Ministry Newsletter in coordination with Mission and Ministry and Marketing and Communication staff.
  • Manage, stock, maintain and organize office, meeting , hospitality and other spaces in Oldenburg Hall in cooperation with Mission and Ministry and Philosophy and Theology associates.
  • Other duties as assigned.

Required Qualifications
Required Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma or general education degree (GED).
  • 2-3 years of related experience (preferably within a Catholic parish/school or higher education) and/or training or equivalent combination of education and experience.
  • Ease with technology and experience with Microsoft products including Word and Excel. Ability to learn additional Microsoft applications including Outlook, OneNote, and Project.
  • Ability to write, analyze and interpret financial reports, and legal documents and utilize this information in planning processes
  • Ability to define problems, collect data, establish facts, and draw valid conclusions. Must be able to incorporate these conclusions/findings into strategic and tactical plans.
  • Excellent communication skills (verbal and written).
  • Ability to communicate in Spanish preferred.
  • Ability to connect with a multitude of audiences.
  • Project and event management experience.
  • Strong initiative and critical-thinking skills.
  • Solid follow-through with all constituents.
  • Commitment to customer service.
  • The ability to multi-task, problem-solve, and meet deadlines.
  • Thrive in a fast-paced environment.
  • Ability to lift and move 25lbs.
