Position Title: Administrative Assistant
Position Reports to: Customer Service Manager
Department/Location: Maintenance Department
Primary Operational Objectives:
The Administrative Assistant will be responsible for performing a variety of administrative tasks, including organizing and updating data, providing excellent customer service, invoicing, payment collection, and supporting the maintenance team.
* This position is M-F 8:00am-5:00pm
Essential Job Functions:
- Communicate professionally and effectively with all customers, members of management, and team members.
- Answer incoming departmental and companywide phone calls.
- Schedule and confirm maintenance, avionics, and detailing appointments.
- Prepare and send customer invoices.
- Maintain digital and physical filing systems.
- Maintain a clean, well-stocked front lobby and customer waiting area.
- Order and restock office supplies for the department as needed.
- Verify customer and account data for accuracy and resolve any discrepancies in data.
- Provide administrative support to the maintenance department as assigned.
- Assist with onboarding new team members.
- Perform other duties as assigned.
- Comply with all safety rules and regulations.
Qualifications:
- Computer literacy and proficiency in MS Office products.
- 5+ year(s) of administrative experience required.
- Strong customer service background.
- Self-motivated, ability to organize work, set priorities, meet deadlines, and provide proper follow-up.
- Excellent verbal and written communication skills.
- Strong multitasking and organizational skills.
- Basic accounting skills.
- Ability to work alone and with a team.
Physical Demands:
- Prolonged periods of sitting/standing at a desk, and computer use.
- Occasional lifting up to 25 lbs.
