Position Summary
The Administrative Assistant is responsible for providing support to the Adult Education Division staff as necessary in planning, coordinating, and executing the various activities of the Division.
Essential Duties and Responsibilities
PRIMARY DUTIES:
  1. Assist with the daily operations of adult education (e.g. securing confidential information, answering and placing telephone calls, taking messages, distributing mail, responding to e-mail, etc.).
  2. Serve as Budget Coordinator for the office, including ordering supplies, making other purchases, and assisting with budget amendments. Assist personnel with travel arrangements and check travel documents for accuracy.
  3. Assist with grant administration duties as needed with the collection of data and the production of reports and documents related to adult education grants, monitoring programs, and initiatives.
  4. Provide clerical support, including composing and drafting emails, letters, memorandums, and other routine correspondence; general typing; proofreading / editing; filing; operating copy machine; assembling, stapling, and/or binding duplicate materials; assembling information packets; and preparing mail-outs.
  5. Provide clerical support to the accounting team by compiling, setting up, and typing reports, special studies, work sheets, and statistical reports and tables.
  6. Provide rudimentary information for adult education providers, testing sites, and test takers.
  7. Assist in the High School Equivalency/GED verification process for students and third-party verification companies needing results that are not validated in the national GEDTS/Parchment system.
  8. Assist in the process for validating the required documentation and approval for 16- and 17-year-old GED test takers.
  9. Assist in preparing public presentations, including PowerPoint presentations, with embedded video and other multi-media formats.
  10. Research adult education news and events and prepare newsletters and email blasts in coordination with communications.
  11. Establish priorities and work independently without supervision in both normal and stressful situations.

SECONDARY DUTIES:
  1. Maintain the filing system for division memos, letters, and grant-related documents.
  2. Set up meetings, including securing of room, assembling handouts, taking notes, preparing minutes, etc.
  3. Compose rapid response letters to businesses, AE providers, and students.
  4. Complete special projects and assignments in an accurate and timely manner.
  5. Maintain departmental vehicle log and gas receipts.
  6. Perform internet search tasks to retrieve selected materials of an applied research nature in various projects.
  7. Maintain office resources, materials, supplies, and equipment.
  8. Serve on system office committees as assigned.
  9. Perform other related duties as assigned.

Qualifications
QUALIFICATIONS:
REQUIRED:
  1. AA/AS degree or certification in office administration or related field from a regionally accredited institution.
  2. Minimum of five (5) years of clerical/secretarial work experience.
  3. Knowledge of office practices and procedures and ability to apply same.
  4. Skill proficiency in word-processing software packages such as Microsoft Word, Excel, Outlook, Publisher, and PowerPoint.
  5. Ability to communicate effectively, both orally and in writing.
  6. Ability to perform tasks and routine office work separately and independently of constant supervision.
PREFERRED:
  1. Experience with software such as Banner and/or AAESAP.
  2. Experience with graphical design tools such as Canvas and Adobe InDesign.
  3. Experience with a workflow management application such as Microsoft Teams.

Annual Leave

Sick Leave
Full-time employees earn 4 hours and 20 minutes of sick leave for each half-monthly pay period of service or 13 days per year. No more than 150 days or 1, 200 hours of sick leave may be accumulated. A complete description of sick leave benefits is outlined in the System Office Policies and Procedures Manual.
Personal Leave
All full-time, part-time, or temporary employees who are employed by the State of Alabama on January 1, and who are stationed outside of Mobile and Baldwin Counties, are entitled to a personal leave day each year in lieu of the former Mardi Gras holiday. The System Office policy requires that employees schedule their personal leave day prior to scheduling any annual leave.

Retirement
The Alabama Community College System participates in the Retirement Systems of Alabama Teachers Retirement System. Teachers Retirement System is a state-mandated program where a percentage of your salary is withheld per pay period for an individual's retirement account. The percentage is determined by an employee's hire date and any prior participation in the Retirement Systems of Alabama.
Tier I (those with service credit prior to January 1, 2013): 7.5%
Tier II (those with service credit beginning on or after January 1, 2013): 6.2%

Tuition Waiver
This tuition assistance program is designed for all full-time benefits-eligible employees, retirees, and benefits-eligible H Salary Schedule employees of The Alabama Community College System and the Alabama Community College System office and their dependents defined by the policy. It is the responsibility of the employee and/or dependent to ensure that all documents and forms (requested by the College where the student is enrolled) are submitted and signed by the appropriate personnel in a timely manner prior to submission.
