Portneuf Health Trust, Inc. is looking for a qualified Administrative Assistant. Flexible hours of 20-29 per week. $18-$22 per hour depending on experience. Paid time off (PTO).
The Administrative Assistant will be responsible for all day-to-day activities. This position will provide administrative support to ensure the smooth and efficient operation of the office. As an Administrative Assistant, you will be responsible for managing and organizing various administrative tasks, including but not limited to preparing documents, maintaining office supplies, and handling incoming and outgoing communications. The ideal candidate for this position should have excellent decorum, organizational skills, time management skills, and the ability to multitask. Strong communication and interpersonal skills are also essential as you will be interacting with partners and other team members on a regular basis. As an Administrative Assistant, you will contribute to creating a positive and professional office environment and ensuring all administrative tasks are completed efficiently and in a timely manner.
General Responsibilities:
- Provides administrative support to administration staff which includes prioritization and accurate completion of all job tasks assigned.
- Accountable for preparing agendas and gathering items needed for meetings.
- Uses appropriate telephone etiquette; promptly receives and delivers telephone messages. Forwards all information as required, while maintaining a high level of confidentiality as circumstances dictate.
- Receives and routes incoming mail and other documents/deliveries.
- Maintains appropriate inventory of supplies and stocks areas needed throughout the Medical Office Building and City Center Campus.
- Must have good organizational and planning skills and possess the ability to work well with the public and others.
- Responsible for scheduling & coordinating the usage of Training Level/conference rooms.
- Adapts well to a changing environment in a positive and professional manner and is willing to take on new responsibilities or tasks.
- Responsible for activating gym memberships and completing a daily walkthrough of the gym.
- Seasonal duties will include but are not limited to watering indoor gardens, trees, and office plants. Laying out ice melts on walkways and entrances and set up/take down of seasonal décor.
- Provides support with the wellness program, by hanging Healthy City, USA flyers, organizing supply closets, prep gifts for wellness winners, and assists with set up and take down of events.
- The Administrative Assistant may occasionally need to participate in Healthy City, USA events, this can include but is not limited to managing Healthy City, USA booths, greeting and guiding, and taking pictures of the event.
- Responsible for running errands that may include but is not limited to, picking up or dropping items off to partners, occasional store runs, and completing tasks between the Medical Office Building and City Center Campus.
- The Administrative Assistant is also responsible for set up and take down of all meetings assigned by the Executive Assistant. This includes but is not limited to catering, handouts, and AV system.
- Responsible for issuing parking permits and occasionally completing an audit check through parking areas.
- The Administrative Assistant will be responsible for proper organization, scanning, and filing documents accordingly.
· Performs all other duties as assigned by the Executive Administrative Assistant.
- Adheres to the values as defined by PHT by aiming to drive major initiatives in Southeastern Idaho and surrounding communities.
Qualifications & Requirements:
· Strong computer skills and experience in Outlook, Excel, Word, PowerPoint, Facebook.
· Highly organized, project management skills and abilities.
· Strong interpersonal skills.
· Ability to read, write, speak and understand English.
· Maintains high standards for work areas and appearance.
Physical Requirements:
- Walking or other means of mobility.
- Ability to work in a standing position for long periods of time (up to 8 hours).
- Ability to reach, bend, stoop, push and/or pull, and frequently lift up to 35 pounds and occasionally lift/move 40 pounds.
Working Conditions:
- Generally in an indoor setting; however, may participate in outside activities and events.
