POSITION SUMMARY
The Administrative Assistant Franchise Development provides general office support for the Assistant Vice President Franchise Development. Also responsible for supporting the scope of the work of the Franchise Development Department, including but not limited to lead generation and tracking, database management, and internal and external communications. In addition to coordinating the efficient and timely facilitation of Franchise Agreements (both conversions and new construction) to the KOA franchise system in the US and Canada.
SPECIFIC DUTIES
Administrative Support:
- Provides administrative support for the AVP Franchise Development and functional areas as assigned.
- Manages and organizes key meetings, books rooms, takes notes, and follows up on the next steps.
- Assist in budget management, processing invoices for payment, tracking expenses related to shows and projects, and assisting the sales team with expense management.
- Supply ordering and answering calls.

- Franchise Territory Maps
- Franchise Review Committee (FRC) submissions
- Providing Franchise Disclosure Document (FDD) & Receipt Page to potential franchisees.
- Assist with Franchise Disclosure Document (FDD) updates.
- Receive incoming inquiries, phone calls, and emails and take appropriate action.
- Identify potential franchisees through open-source intelligence, state, and national membership lists, and update the database.
- Assist the sales team by providing administrative support.
- Manage Trade Shows: Calendar, Registration, Shipping Booth, Materials Inventory etc.
- Manage email campaigns.
- Manage logistics related to the KOA Buyers workshop.
- Assist in locating and contracting venues and vendors as the Franchise Development Department needs.
- Will take on other duties as assigned at the discretion of the AVP Franchise Development Services. - Ability to lift 25 pounds and occasionally lift 50 pounds.
- Ability to answer phone calls, hear issues, & give directions while viewing computer screens.
- Requires extended periods of sitting and viewing computer screens.
- Requires use of hands for typing, handling paperwork, & other office functions such as copying, sorting, & filing.
- Ability to stoop, kneel, and crouch.
- Must speak and write English fluently.
- 2+ years’ experience in an administrative role.
- This position is not eligible for remote work - Billings, MT KOA home office position.
- A background in franchising is preferred.
- Experience with bookkeeping practices: P&Ls, balance sheets, budgeting, etc.
- Multi-tasking skills with the ability to manage work schedule while accommodating time demands of multiple daily calls in a fast-paced environment and act with a sense of urgency.
- Strong time management, planning, and organization skills with proven ability to meet deadlines.
- Work well independently as well as in a team environment.
- Impeccable written and oral communication skills.
- Superior attention to detail with solid skills and proficiency in MS Office Suite and Adobe. Experience with FranConnect is a bonus.
- Proven ability to handle confidential information with discretion.
- Valid Driver’s License.
- To self-direct themselves while remaining focused and motivated to attain desired results with the highest levels of integrity.
