Salary: $26-$28/hr DOE

The Administrative Assistant will play a vital role in supporting the leadership of Anabranch Solutions by fulfilling a variety of administrative, communication, and logistical tasks such as coordinating materials requiring leadership attention, composing or reviewing correspondences, reviewing time and expense reports, and arranging meeting agendas. The Administrative Assistant will work directly under the business manager to aid in management and administrative functions of daily operation. This position requires confidentiality when encountering sensitive issues involving contracts, personnel, or legal matters.


Responsibilities May Include:

  • Performs administrative duties such as routing information; note taking; coordinating schedules; screening mail, email and phone calls; reviewing and coordinating documents for signature
  • Maintains cloud-based filing system for Anabranch; maintains records and locates documents; researches and compiles information as requested; maintains company database and resources
  • Reviews correspondences and reports for accuracy, form, completion; prepares correspondences independently and through guidance of leadership (business manager, principals, management team)
  • Assists in preparing and monitoring budgets and strategic work plan
  • Assists in employee time and expense review for payroll
  • Assists in project invoicing to clients as dictated in contracts
  • Communicates effectively verbally and in writing to all levels of staff and management, outside officials and agencies, and the public, to provide perceptive and helpful advice on a variety of complex, sensitive, or confidential matters
  • Upkeep and new registration of business across various states


Qualifications:

  • Demonstrated ability to be and effective member and/or leader of a team
  • Strong written and verbal communication skills, including editing and formatting skills
  • Bachelor's degree with major coursework in business administration, natural resources, or other relevant discipline - 2+ years professional experience may be substituted if relevant
  • Proficiency in office software and technology (e.g., Microsoft Office Suite, Google Workspace, Adobe Suite, ADP, BambooHR, Quickbooks Online, Harvest)
  • Experience working with and/or developing budgets in Excel
  • Proven confidence to work independently, exercise good judgment in a variety of situations, and be a problem solver
  • Must be able to communicate among varying perspectives respectfully & be trusted to handle confidential matters with discretion
  • Organizational skills and temperament to help manage stress, balance multiple tasks and deadlines, accept emerging priorities, and pay attention to details
  • Excellent communication and interpersonal skills are necessary to cultivate and maintain relations
  • Understanding of and passion for natural resources and low-tech process-based restoration is desirable but not required
  • Experience working with federal contracts is desirable but not required
  • Experience with human resources functions desirable but not required
  • Graphic design and copywriting experience desirable but not required


This is a position which will start as part-time, non-exempt during training and the probationary period (roughly 3 months) and has the ability to grow to full-time, non-exempt as the employee is able to own more tasks and responsibilities. For the right candidate with relevant experience and understanding, it could move more quickly to full-time. Compensation depends upon experience and/or qualifications. Benefits vary by employment class, but include health insurance coverage, accrued paid sick leave, annual personal leave and 11 paid holidays each year. Position will also be eligible for retirement contributions beginning on year 3 of previous 5 employed with Anabranch Solutions. This position will primarily be Monday through Friday 8:00am to 5:00pm PST, with occasional need for weekend or after-hours work. Some travel may be occasionally needed to attend staff trainings, visit business hubs (e.g., Moscow, ID; Asotin, WA; Bend, OR; Logan, UT), or assist in workshops. While the work can be completed remotely, preference will be given to employees within an commutable distance of Moscow, ID.
