Job Title:Administrative Assistant
Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. From managing schedules, handling correspondence, and coordinating meetings to performing various clerical tasks, the Administrative Assistant plays a pivotal role in facilitating smooth workflow and fostering a productive work environment.
Responsibilities:
Manage and maintain executives' schedules, appointments, and travel arrangements.
Coordinate meetings, conferences, and events; including arranging venues, catering, and accommodations as necessary.
Screen and direct phone calls and distribute correspondence appropriately.
Prepare and distribute memos, letters, emails, and reports as needed.
Assist in the preparation of presentations and other materials.
Maintain electronic and hard copy filing systems.
Order and maintain office supplies and equipment.
Handle requests for information and data.
Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system.
Update and maintain office policies and procedures.
Perform general administrative tasks such as photocopying, printing, and scanning.
Liaise with internal staff at all levels.
Assist with other administrative duties as assigned.
Requirements:
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Excellent time management skills and ability to prioritize tasks.
Strong communication skills (written and verbal).
Attention to detail and problem-solving skills.
Ability to work independently and as part of a team.
High level of discretion and confidentiality.
