Crystal Springs Resort is seeking an Administrative Assistant that has a flexible schedule for Minerals Hotel.
Responsibilities:
- Ensure that all interactions with guests and staff are friendly and service-oriented.
- Treat all team members with dignity and respect.
- Adhere to procedures to maintain the safety and security of team members, guests, and company assets (equipment, supplies).
- Fill in as needed to ensure operational efficiency and meet expectations.
- Maintain regular attendance per Crystal Springs Hotel Standards, as required by scheduling that may vary based on hotel/business needs.
- Keep all equipment clean and in excellent working condition.
- Maintain organization of all General manager’s documents and required filing.
- Assist the General Manager in daily administrative tasks.
- Support Hotel Directors and Managers when requested by the General Manager.
- Attend meetings as directed by the General Manager and take accurate meeting minutes.
- Attend daily stand-up meetings and effectively communicate information.
- Furnish Hotel information to Corporate Administrative Professionals.
- With the directives of the General Manager, plan staff meetings and training sessions.
- Assist the General manager in all needed reports.
- Develop and maintain Excel spreadsheets for tracking various hotel items.
- Handling tasks such as distributing paychecks, and addressing routine employee requests.
- Establish and maintain electronic and hard copy filing systems.
- Ensure that all departments are up to date with necessary building requirements.
- Run hotel errands when requested by the general Manager.
- Update weekly leadership schedule for revision by the General Manager.
- Manage the General Manager's schedule and triage spontaneous visitors.
- Track spending reports and prepare and submit credit card reports monthly.
- Maintain a proper par level of office supplies for the property.
- Complete property inspections/walks when assigned by the General Manager.
- Place orders for all Minerals departments for supplies and equipment needed through our purchasing software or online vendors.
- Contacting vendors and obtaining competitive contractor bids.
- Escort and support vendors while on the property when needed.
- Assist other departments as needed.
- Assist as necessary with special projects.
- Assist as required per General Manager’s requests.
Requirements:
- Must possess excellent communication skills, both verbal and written.
- Proper telephone etiquette is a must.
- Exceptional time management skills are required to meet or exceed deadlines consistently.
- Strong organizational abilities are necessary.
- Proficient computer skills, including MS Excel, MS Word, MS Outlook, and PowerPoint.
- Ability to learn specific software programs .
- Must be hospitable to all visitors to the General Manager's office.
- Must maintain a professional appearance and attitude at all times.
- Able to handle multiple tasks quickly and efficiently.
- Prioritize, organize, and follow up.
