About the Role
This Administrative Assistant role is pivotal in ensuring the seamless operation of projects by offering administrative support and overseeing various tasks for both Thomas Park Design and Thomas Park Construction. Reporting directly to the Director of Interior Design, you will play a key role in supporting the team through various tasks outlined below. Your contribution will be integral to the success of our design and construction projects.
Job Responsibilities
Vendor Management
- Obtain pricing from vendors and meticulously review their proposals for accuracy, ensuring alignment with project budgets and design specifications.
- Maintain effective communication with vendors to address any discrepancies or obtain additional information as needed.
General Administrative Duties
- Perform general administrative tasks such as ordering fabric samples, coordinating document preparation, and assisting in developing client presentations, reports, and other necessary documentation.
- Collaborate with team members to streamline administrative processes and enhance overall efficiency.
Compliance and Onboarding
- Ensure compliance with company policies and procedures throughout project lifecycles.
- Facilitate the onboarding process for vendors, contractors, and new clients by setting them up in the system, managing documentation, and providing necessary support.
Project Timeline Management
- Monitor lead times of ordered items and proactively communicate with the project team about any potential delays or issues that may impact project timelines.
- Work closely with team to maintain a well-organized and efficient workflow.
Financial Support
- Assist with Accounts Payable/Receivable processes, ensuring accuracy and timeliness in financial transactions related to projects.
- Contribute to basic financial reporting related to projects to support the overall financial health of the operations.
Experience
- 2-3 years of experience in administrative roles, preferably in a construction or real estate environment.
- 1-2 years of experience in accounts payable.
- Proficiency in using office software and project management tools.
