Flint Hills Resources is looking for an Administrative Assistant to support our Asphalt business in West Fargo, ND. This is a dynamic, hands-on role, and requires a self-directed problem solver who can multitask with a focus on customer service.
Our Team
This is an ideal role for a self-starter who thrives working. The Administrative Assistant reports into the Plant Manager and works in a collaborative environment with our Operations team and Area Marketing. We have a small cohesive team that interacts on various aspects of the business and regularly communicates with other plants and terminals. A successful candidate requires initiative, strong communication skills and ownership of responsibilities.

What You Will Do
- Perform data entry and oversee onsite records management and retention
- Manage customer contracts, agreements, and compliance related tasks with attention to detail
- Perform general office management duties such as office supply inventory and general housekeeping activities
- Purchase and receive materials and supplies
- Use HMI system to load asphalt trucks from the office
- Oversee and manage the generation of accurate BOL's for customers.
- Interact professionally with team members, customers, contractors, and truck drivers
- Relay information from incoming phone calls to appropriate parties
- Run daily, weekly, and monthly inventory reports
- Prepare customer and contractor communications including emails and invoices
- Maintain electronic and physical filing systems
- Seasonal on-call responsibilities may include early morning/late night/and weekend calls as needed
- Assist other plants and back up other Admins as needed
Who You Are (Basic Qualifications)
- Experience working in an administrative role
- Experience in Microsoft Word, Excel, and Outlook along with other programs
- Previous experience communicating with all levels of an organization (i.e., via reports, e-mail, or verbally) in a team environment
What Will Put You Ahead
- 2+ years experience in a customer service role or retail setting
- Experience with records management
- At least two (2) years of experience in an administrative position
