Job description

This is entry level administrative work that is responsible for coordinating many different scheduled activities. Applicants should be skilled at keeping track of schedules and deadlines; and coordinating multiple tasks at once. One should also have good interpersonal skills and the ability to work well with members of the public, appointed officials, and staff members. Routine assignments are completed with a minimum of direct supervision. On complex assignments, these employees may assist or receive assistance from a higher-level employee.

The days and hours for this position: Monday- Friday 8:00 AM - 5:00 PM

  • Reads ordinances, statutes, laws, periodicals, professional reports, regulations, policies and procedures to obtain information as needed.
  • Monitors equipment and/or supply budgets.
  • Summarizes information; prepares charts, graphs and tables; composes reports. Reviews program requirements, charts and graphs numerical data, and makes computations to determine and illustrate budget requirements.
  • Composes letters providing or requesting information.
  • Record minutes or take notes for a supervisor at meetings with staff employees, outside agencies, boards and/or commissions.
  • May use electronic spreadsheets for tracking and/or developing presentations.
  • May delegate and direct the work of clerical employees.
  • Initiates routine information gathering; coordinates the distribution of requests for information and follows process to completion.
  • Confers with staff from other Departments to determine appropriate application of policies and procedures in unusual situations.
  • Prepares, reviews, and distributes commission agenda packets.
  • Submits, reviews, and coordinates the submission of governing body agenda items.
  • Writes, reviews, and submits public notices for publication in newspapers.
  • Completion of work assignments may require the operation of a vehicle.

  • Knowledge of standard computer keyboard configurations and ability to access, interpret, and record information through use of a video display terminal and electronic keyboard.
  • Knowledge of and ability to use English language usage reference materials.
  • May require knowledge of, and ability to engage in, use of computer keyboard and video display monitor in electronic spreadsheet development, using basic mathematical and descriptive statistical operations.
  • Ability to add, subtract, multiply and divide.
  • Ability to read, interpret, organize, and compile data from a number of sources and to prepare a summary of the information collected.
  • Ability to compose routine letters.
  • Ability to read, interpret, and develop charts and graphs.
  • Ability to communicate clearly and effectively.
  • Ability to establish and maintain effective working relationships with associates, other employees, representatives of other organizations, and the public.
  • May require ability to acquire and maintain a valid Kansas driver's license.
  • An employee shall not pose a direct threat to the health or safety of other individuals in the workplace.
  • Must have a high school diploma. Candidates with two years (60 credit hours) of college is preferred.

  • Two years of administrative experience or two years of experience in a responsible clerical/secretarial position.

  • Experience working in a planning or subdivision environment or the government sector is preferred.

  • Proficient using a multi-phone system.

  • Candidates should demonstrated experience providing a high level of customer service, both by phone and in person.

  • Must have the ability to review and coordinate multiple projects simultaneously.

  • Must be legally authorized to work in the United States without the need of a sponsorship

  • Attainment of passing scores on pre-employment tests.

Offers of employment are contingent upon passing a pre-employment physical, which includes drug screening, and upon satisfactory evaluation of the results of a criminal record check.


Starting pay for current City employees will be determined by City of Wichita policy or applicable bargaining unit agreement. Employment Type: Full-time
