SUMMARY:
The Administrative Accountant reports to the CFO and is responsible for daily accounting duties overseeing all accounting departments and multiple entities. The ideal candidate has 5+ years of experience & who wants to join a team striving for excellence. We are looking for a highly organized, experienced person who is professional, detail oriented, communicates well, and is self-motivated. This is a full-time position. Responsibilities include, but are not limited to, the following:
JOB DUTIES
- Monitors subsidiary accounts and performs adjustments or corrections
- Manage and Maintains GL accounts & accounting files (hard copies and electronic)
- Prepares accurate monthly company financial statements
- Monitors company financial statements for internal ratio expectations
- Effectively communicates with bookkeeping departments regarding corrections, adjustments, procedures via verbal discussion, email, telephone, or fax
- Interfaces with tech support for troubleshooting software system capabilities and limitations that affect accounting and auditing processes in every department
- Supervises payroll reporting/processing and serves as back-up if needed
- Maintain and reconcile accurate records and reports of payroll and benefits transactions including supporting documentation
- Calculates and completes monthly reconciliation to POS and GL software for sales tax pre-payments
- Performs closing of month in POS software and GL entries in QuickBooks for accurate financial statement presentation
- Reconciles and completes quarterly sales tax report and payment
- Manage/reconcile business credit card balances
- Monitors and audits receivables, payables, payroll, purchasing, Fuel Tax Credit Application, and cash handling
- Supervises timing of accounting functions & cross trains for all accounting positions
- Prepares various government reports as needed, including annual 1099’s
- Other duties as assigned by the CFO
QUALIFICATIONS:
- Bachelor’s Degree in Business (Accounting preferred)
- Minimum 5+ years related accounting experience
- Experience with payroll/payroll software systems (Paylocity a plus)
- Experience in construction industry a plus
- Expert proficiency with Outlook and Microsoft Office, Excel, and PowerPoint
