The Earth and Planetary Sciences (EPS) department studies the properties of minerals, rocks, soils, sediments, and water, using multiple lenses -- stratigraphy, paleobiology, geochemistry, and planetary sciences. Our faculty and students' work informs our understanding of natural hazards such as earthquakes, volcanic eruptions, landslides, and floods. It also helps us answer fundamental questions about the origin, history, and habitability of planets.
The Earth and Planetary Sciences department is seeking a full-time Administrative Associate who will provide administrative and operational support to the Department Chair and the Director of Finance and Operations. You should be highly organized, detail-oriented, and be able to multi-task with ease. In this position, you will be expected to demonstrate sound judgment, professional etiquette, and exceptional problem-solving skills. The ideal candidate will enjoy a fast-paced environment, interacting with students, faculty, and staff. If you are highly motivated, can work independently with minimal supervision and know how to get things done, this position may be the right opportunity for you!
Your Responsibilities will include:
  • Managing a complex calendar with limited consultation; resolve scheduling conflicts; negotiating and managing the needs of individuals or groups requesting time with the Chair.
  • Creating and managing scheduling polls.
  • Managing complicated business travel in compliance with unit, university and sponsor policies. Processing associated travel reimbursements.
  • Processing and monitoring routine financial transactions, which may include researching and resolving discrepancies.
  • Coordinating the logistics of meetings, research group events, and annual meetings.
  • Independently handling all event details, including selecting and contracting with vendors, securing venues and maintaining websites that provide information for participants.
  • Organizing electronic files and documents in Google drive and other similar systems for efficient access.
  • Maintaining research group website, drafting and/or generating routine communications; coordinating production (formatting, copying, etc.) and dissemination of documents.

To be successful in this position, you will need:
  • High school diploma and four years of administrative experience, or combination of education and relevant experience.
  • Demonstrated success in following through and completing projects.
  • Advanced computer skills and demonstrated experience with office software, calendaring and email applications.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.

In addition, our preferred requirements include:
  • Knowledge of Stanford University systems and Policies
  • Experience planning and coordinating a wide variety of events.
  • Experience with website maintenance, preferably using Drupal.

The expected pay range for this position is $33.17 to $43.75 per hour.
