BAE Systems Huntsville Business Center is seeking an experienced Administrative Assistant to join our team to provide professional support to the Business Center Engineering- Lead in Huntsville, Alabama. The successful candidate will perform a variety of tasks supporting a multi-disciplined organization.

BAE Systems Huntsville Business Center is seeking an experienced Administrative Assistant to join our team to provide professional support to the Business Center Engineering- Lead in Huntsville, Alabama. The successful candidate will perform a variety of tasks supporting a multi-disciplined organization.
Responsibilities include but are not limited to:
- Support the Huntsville Business Center Engineering Lead and resident Engineering Staff to help coordinate and manage schedules, travel. Additional administrative tasking to assist and support the overall Business Center Site as required.
- Coordination and scheduling of: Huntsville site meetings, Quarterly All Hands Meetings, bi-weekly Huntsville Leadership team meetings, and any other regular cadence or one on one meetings that may arise for the site
- Management of calendar, travel and travel expense reporting
- Monitor various site documents to ensure proper format and markings and that appropriate policies and procedures are correctly implemented
- Manage the Huntsville Business Center shared drive
- Develop professional presentations based on draft material
- Planning, scheduling, organizing and execution of meetings, events, and off-sites. This includes but is not limited to initiating and hosting Teams meetings
- Set agenda, attend, and record minutes for Huntsville Leadership team meetings
- Expense/ travel management and reimbursement processing
- Monitor and replenish supply inventories necessary for upkeep of office area
- Coordinate office set-up, asset assignment, user accounts, and other new hire logistics
- Collaborate with Information technology (IT)to track status of group's help desk tickets and ensure timely resolution
- Support tracking and ordering of laptops, desktops, and hardware peripheral needs in collaboration with IT
- Arrange catering for meetings
- Receive and escort visitors
- Support other activities as needed

Required Skills and Education
- Associate's Degree and four (4) years of experience as an Administrative Assistant or closely related position, or Bachelor's degree and 2 (two) years of experience
- Strong proficiency in Microsoft Outlook and Office Suite, CONCUR, Coupa, Teams, Catertrax, and Maximo
- At least four (4) years of experience generating professional presentations from draft material
- Proactive team player with strong organizational skills and the ability to multi-task and handle multiple priorities
- At least two (2) years of experience working effectively across organizations, dispersed geographic sites, and coordinating large groups
- Solid communication and interpersonal skills and an ability to build effective working relationships
- Proven ability to work independently with limited direction
- Creating and contributing to a positive work environment and employee morale
- Experience working in a fast paced and agile team environment
- A positive attitude and enthusiasm
- Demonstrated self-starting & self-closing skills
- Demonstrated ability to collaborate with all types of groups / levels of individuals
- Demonstrated ability to interface with senior leadership and external visitors including senior customers
Preferred Skills and Education
- Bachelor's degree and at least four (4) years of professional experience
- Ability to facilitate team discussions (i.e. campus activities, site updates, training)
- Database experience
- Agile scrum experience
- Ability to graph data views
