The Accounts Payable Specialist performs complex processing of purchase order and/or non-PO invoices. This includes complex subcontractor invoices that require timely entry. Reviews for proper back up documentation and submits completed voucher packages for approval prior to data entry. Assists with audits performed for monthly P-card payment and provides backup for other areas within the department as needed. Provides exceptional customer service to our vendors, meets departmental weekly and monthly deadlines.
In this role, you will:
Enter a large volume of complex invoices for DOE assigned purchase orders to include subcontractors.
Submit completed voucher packages for approval prior to entering into Costpoint.
Audit voucher packages before posting to General Ledger.
Assist with selecting vouchers for payments, running payment approval reports to process payments for vendors and employees via ACH, Live Check and Bill.com, entering payment information for payments to process into Bill.com, reviewing voucher packages for correct remittance address and banking information.
Utilize IBM Cognos Analytics for printing the daily voucher edit report for auditing entries.
Enter payment request forms, non-PO invoices, assist with check run pulls and department audits, retrieve mail and perform virtual bank deposits as needed.
Maintain process documents, update changes to procedures as needed.
Collaborate with the procurement department to ensure all information on the purchase order is correct and funding is available. Request invoice approvals from end users and buyers.
Build and maintain good working relationships with internal and external stakeholders.
Qualifications We Require:
Education:
High School Diploma
Experience:
5 Years experience in the Accounts Payable field.
3 Years Deltek Costpoint experience,
or the equivalent combination of education, experience, and relevant training.
Knowledge, Skills, Abilities:
Good working knowledge of Accounts Payable practices and theory,
Strong analytical, problem solving and math skills.
Demonstrated competence in use of a personal computer including data entry skills, accounting software systems, word-processing and spreadsheet software, and 10-key calculator.
Strong organizational, written and verbal communication skills,
Qualifications We Desire:
2 Years experience working with a government contractor preferred.
