Job description

Salary: $60k - $75k / yr

Knowledge and Experience:

  • 5+ years of proven experience processing Accounts Payable
  • Experience conducting AP procedural training
  • Experience leading an AP group of 3 or more
  • Accounting Degree preferable but not necessary

Skills:

  • Ability to meet critical deadlines and achieve organizational objectives with accuracy
  • Must be proficient in Microsoft Office Suite, with a proficiency in Excel
  • Proficiency and experience with accounting software; D365
  • Excellent written and verbal communication skills; ability to work across departments
  • Strong attention to detail and excellent organizational leadership skills a must
  • Meticulously thrives in a fast-paced environment to meet required deadlines

Key Accountabilities

Strategy & Governance:

    • Coordinates with accounting team bi-weekly as part of AP procedural process
    • Lead the coordination with extended AP team weekly as part of AP process
    • Lead the training for extended AP team and refreshers periodically
    • High level of collaboration across all divisions and sites
    • Maintain high level knowledge of AP processes and company standards
    • Ability to communicate effectively and precisely with vendors

    Business Processes:

    • Reviews and analyzes documents for accuracy, completeness, and approval (invoice, packing slip, and receiving ticket) prior to entering D365
    • Verifies the purchase order quantities and items shown during the entry process are accurately reconciled to the invoice. Variances are handled according to company policies
    • Reviews assigned proper general ledger account codes, processes non-purchase order invoices, expense reports, and manual check requests
    • Resolves purchase order, incorrect quantities/items received, price variances, discounts, payment terms, etc. discrepancies as efficiently and accurately as possible
    • Communicates directly with operations staff and vendors to resolve AP related inquiries
    • Resolves vendor escalated issues in a timely and professional manner
    • Compiles bi-weekly cash requirements reports for the accounting team
    • Processes weekly AP check run in compliance with company policies and vendor contract payment terms
    • Performs reconciliation of monthly statements and related transactions
    • Completes various required monthly General Ledger account reconciliations
    • Seek opportunities to streamline and improve transactions and work with the locations to provide support to meet internal needs
    • Identify and assist in implementing process improvement and efficiency
    • Other accounting and finance duties as assigned

    Reporting:

    • Accounts Payable Aging Reports
    • Accounts Payable Payment Proposals
    • Ad hoc requests
    • Drug and alcohol screening: Employment contingent upon passing pre-employment drug and alcohol screen. Also, contingent upon receiving a favorable background check. Must pass a physical examination.
