Position Summary:

The A/P Clerk will report directly to the Accounting Operations Supervisor. The A/P Clerk’s primary responsibility is to support departmental objectives of timely, relevant, and accurate financial reporting /or accounting processing for Corvesta Inc. and affiliates. This position processes invoices and expense reports for all six entities noted above on a weekly basis. In addition, this position interacts with internal customers and external vendors. This position will maintain accuracy and timeliness in processing of invoices and expense reports, including vendor record maintenance.

Essential Functions:

  • Ensure timely and accurate payment of invoices and expense reports
  • Ensure A/P and expense reporting approvals and authorities are adhered to
  • Scanning of invoices that are not electronically received
  • Accurate assignment of general ledger account code to invoices and expense reportsElectronic storage and organization of invoices
  • Attaching invoices to expense reporting routing system for approvals
  • Routing of invoices and expense reports within automated A/P system for approvals
  • Processing of manual premium refund and claims checks
  • Maintenance of vendor records to permit accuracy in payment and 1099 reporting
  • Verification of vendors’ legal status, proper name and address, and tax ID number
  • Verification of banking information
  • Review of invoices’ approval status
  • Support payment of commissions to external brokersSupport and follow internal policies, including training of employees regarding policies for invoice and expense report approvals
  • Support and training of employees on A/P automationsoftware
  • Preparation of monthly Sales & Use Tax return
  • Review expense reports and ensure proper documentation is provided and policies are followed
  • Reconcile vendor or credit card statements to invoices and expense reports submitted
  • Other duties as assigned by supervisor or senior management

Qualifications/Education/Experience:

  • Education: Associates degree or higher
  • 3+ years of direct A/P experience
  • Great Plains accounting software, or similar accounting software, experience
  • A/P Workflow Automation software, i.e. Kwiktag, Bill.com
  • Strong Excel Skills
  • Excellent technical and analytical skills in A/P and general understanding of accounting.
  • An understanding of the basic business disciplines in order to review and question invoices and expense reports
  • Critical thinking skills
  • Understanding of 1099 reporting requirements
  • Demonstrated commitment to trustworthiness,honesty, and sound judgement
  • Strong attention to detail
  • Self-starter with strong desire to continue learning
  • Maintain professional demeanor and be able to work with all levels of management and employees in the organization and customers and vendors
  • Strong interpersonal and communication skills, both written and verbal, to work effectively with various functional groups and management levels
  • Demonstrated experience working with people and getting results through others.
  • Ability to think and plan logically for organizational success.

The employee will be required to travel (sometimes long distances) to attend required meetings.
  • Work environment: The work is limited to the office environment with occasional trips to other office facilities or locations necessitating walking outdoors or driving. The noise level in the work environment is usually minimal.
