We are seeking a highly organized and detail-oriented Accounting & HR Coordinator to join our growing team. As an Accounting & HR Coordinator, you will play a vital role in supporting the HR & Accounting Family Office Teams by providing administrative assistance, supporting employee relations, and ensuring compliance with HR/Accounting policies and procedures.

This Accounting & HR Coordinator position is a hybrid position. You will need to work from the office several days a week.
You will work with both the HR Manager and Financial Controller at Mastermind
We provide excellent compensation based on experience, around $65,000
THE ROLE

    • Support the HR & Accounting Family Office Teams
    • Provide administrative assistance
    • Ensure compliance with HR/Accounting policies and procedures.
  • Hybrid role based in Phoenix, Arizona.

REQUIREMENTS
  • Bachelor's degree in Human Resources or a related field preferred.
  • 1-2 years of experience in HR administration, Accounting or a related field.
  • Excellent organizational, time management, and multitasking skills.
  • Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Proficient in Microsoft Office Suite, Quickbooks, and HR software.
  • Experience with recruiting, onboarding, benefits administration, and payroll processing a plus.

RESPONSIBILITIES
  • Work closely with the HR Manager to develop positive relationships, support employee engagement, and provide support and assistance to the Management team in responding to and resolving HR issues.
  • Assist Controller with monthly bank reconciliations
  • Assist Controller with reconciling intercompany receivables and payables
  • Record deposits and print checks in QuickBooks
  • Prepare invoices to third-parties Assist Accounting Manager with compiling and organizing tax documents for the Family Office
  • Provide general administrative support to the Family Office
  • Assist Accounting Manager with tracking bills, sorting and mailing checks, and making bank deposits
  • Answer occasional phone calls, greet and receive visitors, and process incoming and outgoing mail
  • Scan and file documents electronically (in accordance with office protocol)
  • Maintain an organized filing system for hard files
  • Update spreadsheets using Excel
  • Maintain employee digital files to ensure accuracy and compliance.
  • Compose offer letters and provide support with new hire onboarding process (Pre-Hire to Day 1) including E-Verify, I-9 verifications, enrolling new hires in required platforms and tracking candidate progress through HRIS. Ensuring hiring managers are prepared for Day 1 and providing ongoing new hire support as needed.
  • Manage employee inquiries and resolve concerns promptly and professionally.
  • Manage birthday notifications, community outreach responsibilities and anniversary program.
  • Conduct regular and ad hoc reporting for analysis to include turnover, I-9 and various HR related audits.
  • Maintain knowledge of trends, best practices, and current employment laws and regulations.
  • Perform other duties as assigned by the HR Manager and Controller.
