Job Summary:

Under the direction of the Employee Relations Manager, the FMLA/ADA Coordinator position administers and makes decisions regarding DCS leave and disability programs. This includes Family and Medical Leave Act (FMLA), Military Leave, Workers Compensation, Americans with Disabilities Act (ADA) accommodations, and medical leave not covered by FMLA.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

  • Handles the FMLA leave administration process from the employees initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave. Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits
  • Investigates, researches, evaluate, ensures compliance with, and provides consultation on leave-related issues (FMLA, ADA, etc.). Escalate concerns as appropriate.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws. Draft and/or recommend revisions to company leave policies and documents to ensure compliance with federal, state, and local laws and regulations. Drafts and updates Standard Operating Procedures.
  • Prepares and facilitates training to agency leadership. Leads and/or participates in small/mid-size special HR projects or assignments using the Lean Management System Methodology. Includes rotation into other HR units and/or assignments as needed by business.
  • Ensure Human Resources Information Solution (HRIS) and other system data is current; partner with DCS Payroll to create reports and update leave types and related information.
  • Other duties as assigned as related to the position.

Selective Preference(s):

Bachelor's Degree in a related field and two years of professional work experience in a Human Resources office managing FMLA. Expert experience using Excel to create spreadsheets and statistical charts. Professional in Human Resources (PHR) or Senior Professional in Human Resources (SPHR) certification preferred.

Pre-Employment Requirements:

Must be able to secure and maintain clearance from DCS Central Registry.
