Job Overview: The Accounting Clerk is an entry-level position responsible for performing various clerical and administrative tasks within the accounting department. Key Responsibilities:
- Data Entry:
- Input financial data into the accounting system, including invoices, expense reports, and other financial transactions.
- Ensure accuracy and completeness of data by reviewing documents for discrepancies and resolving any issues.
- Accounts Payable:
- Process vendor invoices, verifying the accuracy of charges, obtaining necessary approvals, and preparing payments.
- Reconcile vendor statements and address discrepancies or issues.
- Accounts Receivable:
- Generate and send customer invoices, ensuring timely and accurate billing.
- Assist in tracking and following up on overdue payments.
- Recordkeeping:
- Maintain organized and up-to-date financial records, including filing and archiving documents.
- Assist in the preparation of financial reports and statements.
- Bank Reconciliation:
- Reconcile bank statements to the general ledger to ensure accuracy and identify discrepancies.
- Investigate and resolve any discrepancies in a timely manner.
- Assist with Audits:
- Provide support during internal and external audits by preparing requested documentation and answering auditor queries.
- Communication:
- Collaborate with other departments to obtain necessary information and resolve financial-related inquiries.
- Communicate with vendors and customers to address payment and invoicing matters.
- Administrative Tasks:
- Perform general administrative duties such as filing, answering phone calls, and responding to emails.
- Assist with special projects or tasks as assigned by supervisors.
Qualifications:
- High school diploma or equivalent; some college coursework in accounting or related field is a plus.
- Basic understanding of accounting principles and practices.
- Proficiency in using accounting software and Microsoft Office applications, particularly Excel.
- Strong attention to detail and accuracy in data entry.
- Excellent organizational and time-management skills.
