Job Overview
The role of Wedding Coordinator is to work closely with couples, vendors and the Harvey House team to ensure the success of each and every event. A talented coordinator can not only execute logistics at a high level, but also understands the importance of creating trusting relationships with every client while ensuring the best interest of the business.
Responsibilities and Duties
- Manage entire lifecycle of wedding from inquiry through end of event
- Focus largely on post-booking milestones but still be able to handle pre-booking sales tasks as needed
- Communicate with couples by scheduling coordination calls to discuss all wedding details including but not limited to timeline, decor, vendors and event layout
- Communicate with all vendors to confirm arrival times, set up needs and scope of services for the day
- Create and adhere to a detailed timeline to be distributed to all vendors as well as the internal Harvey House team
- Create and adhere to a detailed inventory list of all event equipment and decor to be distributed to the internal Harvey House team
- Create layout of event and work with all vendors and internal Harvey House team to ensure layout is adhered to
- Attend and oversee both the ceremony rehearsal and event
- Direct set up of equipment and manage the logistics of all aspects of the event
- Manage events and address potential problems that may arise
- Plan for potential scenarios that could impact the integrity of the event
- Serve as the main contact point for any and all problems that may arise during the event
- Conduct inspections before and during the event to make sure everything is up to client and venue standards
- Protect best interest of physical plant and ensure all policies and regulations are adhered to
- Other duties as assigned
Qualifications
- Takes ownership and accountability of coordination tasks
- Flexible with schedule in order to be responsive with clients
- Process-oriented with great focus on logistics and ability to anticipate needs in advance
- Proactively engage clients to steer them in the right direction as the subject matter expert in events and coordination
- Possess a high level of attention to detail
- Communicates effectively both verbally and in writing
- Possess excellent customer service and follow up skills
- Works well in a team environment and actively contributes to the success of every event
- Nimble and able to adapt to changing circumstances with quick decision-making skills and pivot accordingly
- An eye for design and understanding of basic design principles
- Must be available to work weekends, evenings and some holidays
- Event or service experience preferred
Job Type: Part-time
Pay: $23.00 - $29.00 per hour
Expected hours: 8 – 40 per week
