Job Specific:
Requires flexible availability. This position is primarily scheduled during evenings and Saturdays.
This is a keyholder position with responsibilities for opening and closing.
Ability to lift 25 lbs. frequently taking down/setting up tables and chairs.
About Us
White Bear Center for the Arts is a growing nonprofit community art center, offering more than 1,100 classes and 10 gallery shows per year in its newly-expanded campus. Why this role is important:
This role is the primary point of contact for all of our visitors and students. In this role, you will provide a welcoming presence, process class and membership registrations, program information, classroom setup and retail assistance.
Primary Responsibilities:
Delivering an exceptional customer service experience at our Welcome Desk.
Responsible for answering phone calls from the main line and transferring calls as needed. Responsible for answering all emails from the main account in a timely and professional manner. This role supports the work of programming by calling students and teachers with class updates as needed.
Delivers a friendly and efficient Welcome Desk experience by processing class registrations, membership registrations, payment transactions, and other related transactions through Neon CRM database with a high attention to detail.
Proactively engages with visitors, reads cues and responds effectively, is able to educate our visitors on current class/event offerings, gallery exhibitions, and artwork/artists sold in store.
Ensures accurate recordkeeping of student accounts and class information across systems.
Processes sales from gallery exhibitions.
Notifies the manager of any office supply needs and puts supplies away upon delivery.
Attendance at regular staff meetings and department meetings as scheduled.
Works in partnership with other departments to ensure smooth daily operations.
Additional duties as assigned.
Retail Responsibilities:
Processes customer transactions at the POS including cash handling.
Visitor Services AssistantEnsures displays are kept clean and organized
Ensures the retail counter is kept clean and organized, restocking packaging as necessary.
Will occasionally be scheduled to work in the Shop during large events.
Informing Manager or Director of any retail needs (more packaging supplies, etc.)
Classroom/Facilities Responsibilities:
Responsible for opening and closing the building, ensuring all procedures are followed including turning on/off any gallery projectors or TV’s.
Ensures timely set up of classrooms and cleanup, including prepping for the next day.
Ensures the Welcome Desk stays clean and organized.
Light janitorial duties including wiping down main lobby surfaces, checking bathrooms for cleanliness and appropriately supplied, emptying trash as needed, helping with any other immediate needs.
Informing the Facilities Manager of any major facilities issues or needs.
