We are seeking a highly organized and detail-oriented Remote Administrative Support Specialist to assist with the daily administrative tasks of our company. The successful candidate will be responsible for reviewing timesheets, maintaining spreadsheets, and sorting invoices. This role is crucial in ensuring the consistent and timely disbursement of invoices and accurate timekeeping for our technicians.
Responsibilities:
- Review daily timesheets for technicians and update when needed (67%)
- Ensure accurate and up-to-date records of technician work hours
- Create and update a monthly technician job spreadsheet
- Review service orders and maintain a spreadsheet to ensure accurate repair records
- Prepare a weekly spreadsheet for the Office Manager to complete payroll
- Manage invoice email sorting (33%)
- Check the invoice email account and save attachments to corresponding files in SharePoint
- Save emails and maintain an organized and empty inbox
Key Performance Indicators:
- Consistent and timely disbursement of invoices
- Accurate and regularly updated timekeeping for technicians
- Prompt and accurate paperwork completion by technicians
Must be available Monday – Friday and begin time sensitive task in the early business morning hours (example 8am-11am)
Requirements:
- Excellent organizational and time management skills
- Strong attention to detail
- Proficiency in Microsoft Office, particularly Excel, SharePoint, Teams, Outlook, and Word
- Ability to work independently and meet deadlines
- Excellent written and verbal communication skills
- Previous experience in administrative support or a similar role is preferred
- Trustworthy character that is accountable for all clocked time
- Able to pivot tasks as necessary
- Able to communicate during central time zone business hours
- Must pass a drug test
