Job description

We have full time and part time positions available for an urgent care Customer Service Representative (CSR). We are open every Friday, Saturday, Sunday, and Monday from 11am - 10pm, and we will be open Thursdays starting in April.

Experience with Covetrus Pulse medical record software is preferred but not required.

Introduction to KindVet of Sarasota Urgent Care:

KindVet of Sarasota Urgent Care provides veterinary services primarily for sick or injured pets for Sarasota and the surrounding communities. We accept walk-ins, online appointments, and referrals from general practice clinics and the Humane Society of Sarasota County. Surgeries can be scheduled the same day or in advance. Each day is different, and we see a variety of cases. We are looking for team members with positive attitudes, genuine concern for patients, reliability to arrive at work on time, and a passion to take on challenging cases! Our case load continues to grow, and we are growing our team to prevent overworking, burnout, and the frustrations that come along with being short-staffed.

All team members at KindVet of Sarasota Urgent Care will be held to the highest standards of medicine and client service. Our clinic has a full surgery suite, digital radiology, ultrasound, and IDEXX lab equipment. We have a dental suite, including a dental x-ray machine. As an Urgent Care, we do not perform routine dental prophylaxis; however, we are equipped to perform dental surgeries on an urgent basis. We offer the new canine parvovirus antibody treatment and are set up to treat parvo puppies as outpatients. If any critical patients require overnight hospitalization, we will coordinate for them to be transferred to a 24-hour facility. We strive to provide individualized care based on specific patient and client needs.

Primary Responsibilities of all KindVet of Sarasota Urgent Care Employees:

All Employees, both medical and non-medical, will be upheld to the following responsibilities.

  • Demonstrate genuine concern for the needs of our patients and their owners and use effective and efficient communication.
  • Utilize excellent verbal and written communication skills, including basic computer literacy.
  • Maintain the physical ability to lift up to 50 pounds, work on his/her feet all day, and the cognitive ability to multitask.
  • Follow all federal and state health laws, including OSHA and DEA regulations. Inform management or the attending veterinarian of any regulatory issues.
  • Remain current on technical knowledge of products and medications sold, including the ability to explain and educate owners on proper use of the products and medications.
  • Understand that working in veterinary medicine includes inherent risks, such as direct interaction with unfamiliar animals, exposure to x-rays and anesthetic gasses. Proper protective measures will be provided and utilized as needed.
  • Familiarized with basic knowledge of all hospital functions in addition to specialized responsibilities as defined by a specific position.
  • Keep all areas of the facility clean and in good working order.
  • Adhere to the company attendance policy and protocols.

Primary Responsibilities of a Customer Service Representative (CSR):

This list is not exhaustive and should be considered the minimum requirements for a veterinary technician. Other responsibilities may be assigned based on skill and experience.

  • The CSR works under the direct supervision of the CSR Supervisor who will indicate general assignments, limitations and priorities.
  • Completed work is reviewed for technical accuracy and compliance with established protocols.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Provide outstanding customer service to all clients and associated representatives from vendors, suppliers, and other businesses.
  • Answer telephone calls promptly, professionally, and direct calls to the appropriate department or person. Never offer medical advice over the phone.
  • Monitor all electronic correspondence, including emails, text messages, and online forums. Respond when appropriate and direct messages to the appropriate department or person.
  • Document all communications with clients in the medical record software, Covetrus Pulse.
  • Greet clients and patients when they arrive and address any concerns when they leave. The CSR is the first and last person who clients will see during their visit; we want them to feel welcomed, comfortable, and appreciated for bringing their pet to KindVet.
  • Initial triage of patients and alert the medical staff of all critical patients immediately.
  • Schedule & update appointments, update patient and client information, check-in/check-out clients using the medical record software, Covetrus Pulse. Experience with Covetrus Pulse is a plus, but training will be provided as needed for software.
  • Communicate fluidly with the doctors and technicians. Consistent and clear communication is crucial for our high standard of care.
  • Get patient weights upon arrival and update the whiteboard in real time.
  • Assist clients throughout the appointment for any non-medical needs, such as locating the restroom, getting refreshments, applying for financial assistance (Care Credit or ScratchPay) or finding relevant information (local ER’s, GP’s, pet stores, etc).
  • Send completed medical records to primary, referring, or emergency veterinary clinics as quickly as possible but within 24 hours of the appointment.
  • Complete call backs for appointments from the previous day to check on patients and address client concerns. Alert the medical staff of any concerns.
  • Discuss and process euthanasia paperwork, body care services, estimates, and payments with clients.
  • Review invoices for errors, omissions, and accuracy.
  • Create end of day sales reports, balance cash drawers, and close out all finances from the day according to established protocols.
