Treatment Coordinator Job Description
The Treatment Coordinator is one of the most crucial roles for the success of any Village Dental office! The right person will bring strong leadership, communication, and intentionality to this role.
The Treatment Coordinator works one on one with our patients through their dental treatment journey, providing guidance during what can be an overwhelming decision process.
Our Treatment Coordinators work one on one with our patients through their dental treatment journey. This includes reviewing treatment plans, phasing and prioritizing their treatment needs,
discussing financial arrangements, understanding and explaining their dental insurance, collecting payments and scheduling appointments. They are the patient's "go to" person that can answer any clinical questions and fully explain procedures, as well as pre and post op instructions. Overcoming patient objections to treatment and finding a way for treatment to fit into their life financially is a big aspect of the role.
Beyond patient interaction, the Treatment Coordinator is responsible for running a productive schedule for their doctors. You provide guidance and leadership to the doctors and dental assistants in helping them structure their day in the best possible way.
Daily Responsibilities
Know every patient on your doctor's schedule
Look ahead at the week and know what days are below 70% to goal and focus on filling those days
Work with FD/CA on fill the schedule protocol
Review schedule for next day - make sure all IV appointments have consents signed/scanned, payment made, sedation card complete, sedation consult complete, post op reviewed and premeds sent
Know all patients on the schedule and possible SDS opportunities, be prepared with TX plans printed ahead of time
Follow up with patients added to the doctors schedule and triage to TX scheduled or get off the schedule if appointment not needed
Review new patients x-rays prior to meeting with DDS, meet for new patient exam and present TX plans
Schedule appointments- review consent forms, pre/post op instructions
Submit medical clearances as needed- follow up until received
Complete TC tracker throughout day
Follow up on patients that you have presented TX plans to - use TC tracker (2 days, 2 weeks, 2 months)
Document any NPE exams, consults, etc.
Pull reports for provider productivity, # of new patients and # of hygiene exam and review with DDS where they are to goals MTD
Answer the phone and help with check in/out as needed
Requirements:
- 5 years Dental Assisting Chairside Experience
- Dental Leadership Experience
- Dental Treatment Coordinating Experience
