Position Summary:
Essential Functions:
- Collaborate with internal teams to understand travel requirements, preferences, and constraints.
- Research and propose transportation options, including flights, trains, buses, and rental vehicles, considering factors such as cost, time, and convenience.
- Arrange accommodations, such as hotels or rental properties, based on traveler preferences, budget, and location requirements.
- Coordinate additional travel services, including airport transfers, and car rentals, as needed.
- Enter profiles, and travel itineraries into the online travel management portal for AAA USA.
Vendor Management:
- Liaise with our corporate travel agency, airlines, hotels, and other service providers to negotiate rates, secure bookings, and confirm arrangements.
- Maintain relationships with vendors to ensure high-quality service delivery and resolve any issues or discrepancies that may arise during travel.
- Provide Reports on the performance of vendors.
Documentation and Compliance:
- Prepare and distribute detailed itineraries, including travel schedules, reservations, and contact information, to travelers and relevant stakeholders.
- Ensure compliance with travel policies, regulations, and visa requirements for domestic and international travel.
- Collect and organize travel-related documents, such as passports, visas, and insurance policies, and provide guidance on necessary paperwork.
Budget Management:
- Assist in the development and management of travel budgets, tracking expenses and ensuring adherence to financial guidelines and cost-saving measures.
- Identify opportunities to optimize travel spending through strategic planning and negotiation with vendors.
Communication and Support:
- Serve as the primary point of contact for travelers, addressing inquiries, aiding, and offering recommendations before, during, and after their trips.
- Communicate travel updates, changes, and emergencies to relevant parties in a timely manner, implementing contingency plans as needed.
- Provide guidance and support to travelers on travel-related matters, including transportation options, local customs, and safety precautions.
Requirements:
- Bachelor's degree in hospitality management, travel and tourism, business administration, or a related field preferred.
- Bilingual preferred not required.
- Proven experience in travel coordination, logistics management, or a similar role.
- Strong understanding of travel industry trends, regulations, and best practices.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Exceptional communication and interpersonal skills, with the ability to build relationships and collaborate effectively with diverse stakeholders.
- Proficiency in travel booking software, Microsoft Office suite, and other relevant tools.
- Attention to detail and problem-solving abilities, with a proactive approach to resolving issues and ensuring customer satisfaction.
- Flexibility to adapt to changing travel schedules and handle unexpected challenges with composure.
