POSITION SUMMARY:
Support Tourism Development Department in coordination of Attraction Network initiatives, sales, promotional efforts and in day to day administrative operations.
PRIMARY DUTIES AND RESPONSIBLITIES:
Attraction Network Lead Facilitator:
- Acts as department lead for securing leisure attendance figures from top attractions and distilleries on ongoing monthly basis.
- Builds and maintains attraction attendance reports monthly.
- Acts as department lead in the planning and coordination of bi-monthly Attraction Network meeting including securing location, meeting schedule, meeting agenda, materials and guest speakers.
- Maintains and updates the attraction network mail/email list for department in Outlook and Simpleview.
Tourism Sales Support & Coordination:
- Supports Director and Sales Managers with upcoming trade show, client event, festival or external activation preparation including research, booth activation, promotional item planning and logistics.
- Attends Tourism trade shows, conferences and events as needed in support role or as lead according to needs of department.
- Supports Department Director and Sales Managers to enter, manage and oversee sales leads into Simpleview.
- Supports Department Director and Sales Manager in post event fulfillment. • Facilitates client gift deliveries and incentive program execution with Tourism Sales Managers and Director.
- Supports Sales team with client requests department wide supplying information and itinerary planning, as needed.
- Maintains Department travel schedule.
- Department Accounting & Budget Coordination:
- Organizes and maintains department wide yearly Budget Tracker.
- Acts as Department lead for all purchase orders, invoice processing.
- Acts as Department lead with SAGE accounting process/software.
- Coordinates annual Department budget planning process by arranging necessary team meetings, preparing and updating department budget spreadsheet and worksheets.
Database & Report Lead:
- Tracks and produces monthly reports on department sales leads, attraction visitation, visitor center analytics by compiling appropriate Simpleview related data.
- Plans and facilitates monthly Department Commissioners Report Numbers meeting.
- Serves as Tourism Development contact for Simpleview attending monthly internal Simpleview meetings
- Conducts research and creates reports within Simpleview.
- Department Inventory Lead:
- Maintains Department wide client gift & promotional item inventory.
Department Support & Coordination:
- Assists in department wide initiatives by welcoming group tours to the area, hosting familiarization tours, Visitor Center special events and more as needed.
- Maintains knowledge of Louisville Tourism partner businesses/services and facilitate relationships through on-site visits and ongoing communication.
- Serve as leisure brand ambassador by activating across sales verticals and departments to assist Louisville Tourism efforts in the promotion of leisure visitation to Louisville.
- Participate and contribute to goals and projects set by Tourism Development Department.
- Participate in industry organizations and events in order to develop relationships with key contacts or customers.
- Curates department wide information and submits for inclusion in Bourbon City Brief partner newsletter.
- Records and transcribes all minutes of department meetings as needed, and mails/emails to appropriate parties.
- Acts as lead for department for all mailing, and shipping.
- Assists department wide with planning, organization of all internal and external department meetings.
- Organizes and maintains all department records and files.
- Lead on obtaining department US Mail and sorting out to appropriate staff.
- Act as support to the VP of Tourism on special projects as needed.
- Employee will be required to work varying schedules to reflect the needs of Louisville Tourism.
- Travel will be required.
- Other duties as assigned.
QUALIFICATIONS:
- 3 or more years experience in event coordination and administration supporting multiple managers.
- Proficiency in MS Office Suite, including Outlook, Word, Excel, and Power Point; database management systems (i.e. APS, Simpleview) High School diploma.
- Experience in sales & marketing environment helpful.
- Accurate and timely data entry & reporting.
- Strong working knowledge of office equipment and practices.
- Ability to prioritize tasks and manage multiple tasks.
- Strong organizational skills.
- Strong attention to detail.

Job Type: Full-time
Pay: $40,000.00 - $44,000.00 per year
