Job Description:
The UPS Store (TUPSS) Program Management Specialist is responsible for supporting construction coordination in Corporate Owned Areas through Cushman Wakefield PM and supporting design and construction in Area Owned Areas. This position assists in developing and maintaining design and construction documents, internal business practices, and network processes and procedures. This position analyzes and responds to customer escalation requests, provide resolution , conducts research, prepares reports, and identifies account penetration opportunities. This position advises on customer setups, provides vendor service failure recovery management and keeps customers informed of new products, service enhancements, shipment and order entry changes, product-specific issues and missed metrics. This position collaborates with other business functions to resolve and escalate service failures, creating corrective action and recommending process improvements. This position also determines root causes of problems to ensure resolution and decrease reoccurrences.
Responsibilities and Duties
- Creates center project in website/application, ensuring all required documents are submitted.
- Initiates projects with designer
- Oversees activities, resources, scheduling, and information for Corporate Owned Projects
- Liaises with clients to identify and define requirements, scope, and objectives
- Maintains project activities into doable actions and sets timeframes
- Assigns tasks to field support teams (where applicable) and assists with schedule management
- Monitors and adjusts project timelines and SOW to ensure clients’ needs are met as projects evolve
- Responds to questions/comments from the field and/or vendor regarding building standards, specifications, and permits to ensure UPS guidelines are upheld
- Ensures center builds meet standards in Corporate and Area Owned Areas
- Collects expenses for construction costs, vanilla shell preparation, General Contractor costs, materials, etc.
- Process invoices for vendors, ensuring timely payment per contract terms and internal business practices
- Reviews changes to design and construction process, updates resources, and communicates change to stakeholders
- Collaborates with colleagues to develop/update documents that support The UPS Store standards and specifications
- Identifies challenges and issues and provides solutions to management
- Assists with tasks and deliverables for the design and construction team, operations department, or company as needed
- Conducts customer surveys to identify trends, process improvements, issues and satisfaction.
- Optimizes individual customer orders (e.g., assist with facilitation through operations fulfillment, dispatch, inbound and outbound shipments, customs clearance, etc.).
- Collaborates with operations to ensure pickup and delivery during proactive tracking activities.
Knowledge and Skills
- Applies Service, Product, Industry and Customer Knowledge: Demonstrates a basic understanding of products, services, industry and customer solutions offered by UPS along with their features and business applications; describes general customer profiles targeted by the company.
- Report Generation: Generates reports in an appropriate format using basic software; reviews reports to ensure accuracy and completeness; identifies issues with report generation (e.g., missing variables, incorrect data, etc.)
- Solves Customer Problems: Recognizes when customers are having issues; identifies resolution to basic customer issues and recommends solutions
- Supply Chain Management: Demonstrates a basic understanding of supply chain concepts; identifies issues within a supply chain
- Bachelor’s Degree (or internationally comparable degree) - Preferred
