Position Overview:
The shelter Intake Specialist is responsible for completing intakes and assisting with the intake/check-in process, managing data input, records retention, and reporting, assisting shelter manager with guest relations and other duties as needed. They are the first point to welcome shelter guests and set the tone for the experience the guest will have. HMIS duties include entering data related to enrollment, status assessments, services, and exits into HMIS.
Essential Job Functions
- Ensure proper program enrollment and exit on program enrollment forms.
- Ensures the proper documentation of the daily presence of guests (i.e. sign in sheets).
- Conduct background checks
- Manage guest entrance/lobby
- Assist with daily Shelter operations (cleaning, food services, etc.) as needed and when available.
Daily Guest Relations
- Assist with daily check-in process for all Shelter and Program Guests
- Effectively and quickly resolve and/or work with superiors to resolve all guest incidents, compliance concerns, and grievances.
Daily Operational Duties as requested and assigned:
- Answer and take phone messages.
- Know all safety drills, emergency numbers, and POLM numbers in case of emergencies.
- Be proficient in the program offerings of POLM and when asked about how to make contact with certain programs you can provide accurate and timely information – when in doubt direct inquires to shelter manager and/or supervisor.
- Respond to all communications provided verbally, in memos and/or e-mails daily.
- Treat all staff, shelter guests and volunteers in a warm, friendly and professional manner.
- Attend meetings that relate to job responsibility or as requested by management.
HMIS Functions (IF Assigned) – Under direction of HMIS Committee Chairperson Enter in
- HMIS Database ViSPDAT for all clients.
- Enter in HMIS Database clients in appropriate Programs.
- Exit in HMIS Database clients from Programs.
- Update annual client assessments
*** HMIS Duties may be assigned to you in this role. If so, appropriate training will be provided.
Eligibility Requirements:
All applicants shall:
- Have Strong Customer Service skills
- Be warm and welcoming to guests/volunteers/community members.
- Exhibit strong oral and written communication and conflict management skills.
- Be very organized.
- Demonstrate proficiency in Microsoft Office Suite (including Excel, Word, & Outlook)
Required qualifications:
- High School Diploma or AA preferred.
- 1-2 years experience preferred.
- Employment eligibility verification.
- Reliable personal (not public) transportation available for weekly banking trips and occasional errands.
- Successful completion of background screening.
Physical Requirements:
An Intake Specialist (& HMIS Clerk) is often required to assist with the operations of the shelters. The activities \may include:
- Long stretches of standing
- Lifting and carrying up to 40lbs
- Using cleaning supplies
- Serving Meals
