Job Summary
This position is located within the IEEE Communications Society (ComSoc) to provide full-time administrative support for a variety of programs with a primary focus on awards, student travel grants, and distinguished lecturer programs. In general, this position will manage requests for the creation and distribution of awards certificates and plaques, ensure accuracy and timely delivery of products; process of honorarium payments for prize recipients; and process travel reimbursements. This position will also be responsible for the annual updating of the ComSoc assembly rosters and the directory including the collection of data, editing, formatting, printing, and publication of the document. Administrative support for the ComSoc Distinguished Lecturer / Speakers Program and Student Travel Grant Program. Other support tasks will be assigned as needed. The position requires skill in managing multiple projects simultaneously, excellent time management, attention to detail, and a strong ability to collaborate with others to ensure the delivery of the best work product. Typical hours are between 9 am-5 pm Eastern each weekday for a total of 37.5 hours per week.
Education and Experience:
- Bachelor's degree in communications, marketing, management, or related fields.
- 4-6 years of progressively responsible experience in an office environment in an administrative support role
- Skills and Other Requirements:
High proficiency in either or both the Microsoft Office Suite or Google Application Suite., particularly proficient in spreadsheets.
Excellent organizational and time management skills, including a demonstrated ability to perform tasks with limited direct supervision and independently solve problems.
Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and groups from diverse settings and locations.
Mature, detail-oriented, able to work well under deadline pressure, and work independently as well as with a team.
Strong oral and written communication skills.
