Epika Fleet Services is seeking a dynamic, self starter type of individual to take charge as a Talent Acquisition Onboarding Coordinator. In this vital role, you'll have the opportunity to be the guiding force behind managing our Talent Acquisition strategy while ensuring that new hires are seamlessly integrated into our vibrant culture from day one.
What You’ll Do:
- Talent Acquisition: Take the lead in managing new hire data and keeping meticulous records. Manage the basic Talent Acquisition team administration including taking notes during meetings. Be confident stepping up and assisting the recruiters with scheduling, managing job posts and coordinating with hiring managers as needed. Providing sourcing support for a multitude of roles as necessary.
- Onboarding Experience: The bread and butter, as we like to call it. Design and execute a comprehensive onboarding program that fosters engagement, accelerates productivity, and cultivates a sense of belonging for new hires. No one is forgotten or left behind in the process. Coordinate with cross-functional teams to ensure that all necessary resources and training are ready for New Hires’ first day. Continuously evaluate and refine the onboarding process to enhance effectiveness and employee satisfaction. Adjust and tailor the onboarding process to suit each individual as needed.
- Data, Systems, and Compliance: Act as the Subject Matter Expert for our ATS (icims) and HRIS (Paylocity) systems. Track key metrics such as time-to-fill, start dates, and new hire satisfaction to identify areas for improvement and drive continuous enhancement. Be responsible and own data tracking for the entire onboarding process. Be the Tech Guru for any support the new hires need related to the onboarding process. Stay current on any and all relevant employment laws and regulations to ensure the onboarding process aligns with legal standards. Be fluent (aka have extensive experience) with E-Verify and I9 documentation and requirements.
- Communication and Transparency: Act as a liaison between our People Operations team, hiring managers and new hires to ensure clear and timely communication through the onboarding process. You’ll set expectations with candidates and keep them informed about the onboarding schedule, paperwork and any other relevant details. Be proactive in gathering feedback from new hires about their onboarding experience so we can identify key areas of improvement and implement enhancements to continuously elevate the candidate experience and onboarding journey.
What You’ll Need:
- Three or more years of proven experience in Talent Acquisition or onboarding expertise with a strong understanding of what produces the best onboarding experience for everyone joining the company.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously. And we do mean exceptionally organized.
- Excellent communication and interpersonal skills, with a customer-centric mindset and the ability to build rapport with candidates, peers, hiring managers and new hires all at the same time.
- Proficiency in Paylocity HRIS, ATS systems and other recruitment tools. Paylocity experience is an ABSOLUTE must. Icims experience is the cherry on top.
