Ready to join in? We are looking for a temporary, part-time Switchboard Operator to be based at the corporate office in Westchester, IL near Oak Brook. The position will offer 12-20 hours per week based on business needs. The Communication Specialist handles a high volume of callers, answering the line and connecting the caller to the correct person or department.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Team player willing to work the scheduling rotations as assigned during hours of operation from 7am - 7pm - Monday through Thursday, and from 7am - 5pm - Fridays.
  • Perform clerical duties, such as typing, proofreading, data entry, accepting orders, scanning, sorting mail, and with miscellaneous support duties to other departments as assigned.
  • Must provide the best customer service with clear communication skills to our callers.
  • Call center experience is not required, but a plus.
  • Must have good listening skills not to interrupt customers, but engage and assist thoroughly.
  • Able to work in a timely and efficient manner while an agent in the call center by answering, directing , and transferring appropriately and correctly.
  • As a call center agent, it is required to answer incoming calls promptly to the call center to help avoid any delayed wait and holding times. Works with patients/physicians/callers in a polite and helpful manner transfer callers to the appropriate extension.
  • Provides assistance to callers looking for appointment time and location confirmation, directions, or other general information.
  • Gathers introductory information for scheduling in an effort to keep the patients and case managers from being placed into the voice mail system.
  • Supplements office staff when requested and is receptive to additional assignments/projects as delegated by supervisor.
  • Maintain a positive demeanor with patients, peers, supervisors and physicians, especially when receiving feedback or direction.
  • Assists staff members when necessary in a positive and professional manner to ensure the patients receive the utmost in care.
  • Performs work with accuracy to minimize error correction by other staff members.
  • Double checks data entry to ensure the correct information has been entered into the Athena system.
  • Organizes and prioritizes work to make sure projects are completed in a timely and efficient manner.
  • Stays abreast of and complies with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
  • Adapts to change in positive and professional manner.
  • Any and all other duties as assigned.
  • Supplies information to callers and records messages.
  • Relay or route written or verbal messages.
  • Keep records of calls placed.
  • Listen to customer requests, referring to alphabetical or geographical directories to answer questions and provide telephone information.
  • Receives visitors, obtains name and nature of business, and schedules appointments.

Education and/or Experience
  • High school diploma or general education degree (GED)
  • Mimimum of one year work experience, preferably in a medical office setting.
  • Call center experience is not required, but a plus.
  • Exceptional ability to speak and communicate clearly, professionally, and with empathy
  • Working familiarity with phone systems.
  • Working knowledge of computer systems; strong keyboarding skills.
