Support Specialist
Reports to:
Operations Manager
Employment Type:
4-5 days per week, 35-40 hours per week

Hours and Location:
Charter Oak Capital Management, Portsmouth, NH with travel to the Kennebunk or Portland office only as needed.
Responsibilities:
§ Answer, screen, and route incoming calls
§ Manage internal electronic filing system
§ Coordination of lunch ordering for Portsmouth office
§ Assist in maintaining a welcoming office environment for clients
§ Sending/receiving mail and correspondence
§ Print and send monthly and quarterly client mailings
§ Scanning and copying as needed
§ Manage weekly, monthly and quarterly tasks which directly support fellow staff members and clients
§ Manage reception, welcoming and settling clients for appointments with their Advisors in the event that a front desk professional is out
§ Check appointment schedules and see that client folders are on hand; create if needed
§ Assist with post appointment cleanup and office maintenance
§ Ensure office and staff supplies are organized
§ Assist Operations Manager in coordinating on and off campus firm events
Essential Knowledge:
§ Associate degree or higher
§ 2+ years in reception or customer service driven role
§ Experience with an office phone system
§ High level of computer proficiency and expertise in MS Suite
§ Experience within a financial services firm a plus
§ Experience with financial software a plus

· Excellent attention to detail and adept at prioritizing and organizing
· Strong written and verbal communication skills including high-level competence in writing, editing and proofreading
· High level of integrity and regard for confidentiality
· Desire to provide high quality client service and support
· Anticipates Client and Advisor needs and expectations
· Ability to multi-task, leading multiple projects with significant scope and impact
