The incumbent is assigned to the Chief, Logistics Services Division. The incumbent provides a wide range of Support Service which may include management of the travel card program, mailroom, travel program as well as manage the Bureau's Support Service requests.
MAJOR DUTIES:
- Serve as Bureau of Diplomatic Security point of contact for travel-related inquiries and approver of Bureau travel in E2.
- Make travel arrangements based on travelers' intentions and known preferences ensuring all preparations are in accordance with Federal and DOS Travel Regulations.
- Serve as E2 Solutions Administrator for the Bureau, adding new users and changing passwords as necessary, and providing E2 technical support to the Bureau by email, by phone, and in person.
- Review and evaluate E2 travel authorizations and vouchers for reimbursement submitted by various DS program offices and travelers for accuracy and adherence to Federal and DOS Travel
Regulations. - Route E2 travel documents to appropriate Budget personnel for funding.
- Act as backup to Logistics Services Helpdesk personnel in preparing, delivering, and submitting visa request letters.
- Maintain central files regarding travel for Bureau personnel; ensure files are in accordance with DOS and DS file maintenance policies and procedures.
- Receive visitors and phone calls; accurately determine the nature of the request and refer callers and guests to appropriate staff.
- Responds to EZSuite requests for government travel card approval.
- Guides DS applicants through the Citibank online travel card application process.
- Distributes approved travel cards; briefs recipients on guidelines for proper use.
- Monitors travel cards for misuse.
- Prepares reports as needed.
- Facilitates travel card upgrades.
- Processes declining balance statements for payment.
- Handles declining balance card for Diplomatic Security Training Center.
- Main point of contact between Diplomatic Security Logistics Services and Citibank.
- Serves as backup processing business class travel requests in E2.
- Interacts with a wide range of Diplomatic Security officials.
- Documents all tasks and requests entered through EZSuite.
- Coordinates with appropriate LS staff to ensure EZSuite requests are addressed and completed.
- Solicits information from LS staff on each active request; periodically communicates status updates to requestors.
- Processes passport applications received through EZSuite.
- Works with Bureau of Administration on telephone requests.
- Interacts with a wide range of Diplomatic Security officials.
- Responds to inquiries promptly by phone and email.
- Responsible for fulfilling all Bureau requests for wireless devices, service, and service changes.
- Responds to Bureau orders for wireless devices and service submitted through EZSuite.
- Ensures appropriate funding codes are provided and approved by DS Central Cost.
- Completes and sends Telephone Service Request paperwork to CFO for each wireless request.
- Uses Ariba and Integrated Logistics Management System (ILMS) in the wireless device procurement process.
- Maintains database for wireless devices.
- Communicates budget concerns to IRM WCF Business Management Center.
- Provides guidance to Bureau personnel who have questions about or problems with their wireless devices.
- Distributes devices to end users, providing initial setup instructions.
- Troubleshoots wireless device issues and refers users for further assistance.
PROFESSIONAL QUALIFICATIONS/SKILLS:
- Must be a US citizen who can possess or be able to obtain/maintain a minimum SECRET clearance.
- Must have a High School Diploma and at least one (1) year of job-related experience or equivalent.
- Must possess excellent oral and written communication skills necessary to interface with program personnel at all levels.
- Must demonstrate a thorough knowledge of MS Office applications (MS Word, Excel, PowerPoint).
- Ability to handle multiple tasks simultaneously.
- Knowledge of office policies, practices, and procedures.
- Must be able to work independently with minimum supervision and direction.
ADDITIONAL QUALIFYING FACTORS:
As a condition of employment, must pass a pre-employment drug screening, as well as have acceptable reference and background check results. May be subject to a government security investigation and must meet eligibility requirements for access to classified information. Only US citizens are eligible for a security clearance. Must have or be eligible for security clearances. May require occasional travel.
