Job description

The California Department of Forestry and Fire Protection (CAL FIRE) is seeking to hire a Student Assistant (SA) to assist with information technology (IT) related tasks supporting the CAL FIRE Information Security Office in a learning capacity, under close supervision by the Information Technology (IT) Manager I.

The SA will also assist with IT security, incident response, audits, security training and customer support operations consistent with CAL FIRE IT business standards and best practices, resulting in experience and training in Information Security.

Employment

This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (degree, license, or official transcript) or DMV clearance. Applicants will be required to pass required pre-employment checks to the satisfaction of University Enterprises, Inc. (UEI) and the hiring Agency or Department.

UEI does not allow students to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI Student assistant position for a different UEI Student Assistant position should inform their supervisor in writing and provide at least a week’s notice.

UEI is not a multi-state employer. UEI only employs candidates who live and work in the state of California. If selected for the position you must reside in California and all work must be performed in the state of California throughout the course of employment.


Prerequisites

Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.
Students declared major must match the major(s) listed in the job posting.

Work Schedule

F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.


Additional Work Schedule

Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).


Minimum Qualifications

Ability to:

  • Analyze data and situations, reason logically and creatively, identify problems, draw valid conclusions, and develop practical solutions.
  • Meet and deal tactfully with a variety of people of different backgrounds, experiences, and attributes.
  • Establish and maintain positive working relationships with those contacted throughout employment and within a team environment.
  • Work within the MS Windows OS.
  • Type well and use Microsoft Office products (Word, Excel, PowerPoint, Outlook).
  • Use basic office machinery such as copier, printer, or telephone.
  • Thoroughly and accurately follow written and oral instructions.

Preferred Qualifications

  • Knowledge of:
    • Electronic computer systems and the PC platform.
    • Microsoft Windows 11 Operating System.
    • Mobile devices including iPhones and iPads.
    • Basic hardware, software, telecommunications, and networking for platforms supported by CAL FIRE's Division of Technology.
    • Principles and techniques of studying work processes for new or revised electronic computer applications, technical report writing, and statistical methods.
  • Ability to:
    • Gain practical knowledge and work experience as it relates to IT tasks.
    • Ask questions for assistance.
    • Take initiative and work independently.
    • Handle assignments in a professional and timely manner.
    • Multi-task, prioritize, and meet deadlines.
    • Provide strong attention to detail and produce thorough, accurate results.
    • Do neat and accurate work.
    • Prepare effective reports.

Duties and Responsibilities

  • Create standardized templates for Technology Division documents, such as weekly status reports, high-level network diagrams, process flows, internal and external flowcharts, and desk procedures, to enhance organizational efficiency and consistency.
  • Attend virtual and in person meetings to take notes, and then post the notes to MS Teams for reference and collaboration or for documentation purposes.
  • Update and maintain records, including adding, changing, and managing customer information accuracy and accessibility.
  • Support the updating of Information Security documents by reviewing policies and procedures, prioritizing updates based on provided criteria, and assisting in the refreshing of documents as per instructions.
  • Assist with security audits by reviewing Information Security Office documents and reporting findings in both informal and predefined formal formats.
  • Learn how to utilize MS Power Platform (PowerBi) to analyze data and generate reports, contributing to informed decision-making processes within the Information Security realm.
  • Update Cybersecurity training materials, managing customer information related to training.
  • Schedule team and vendor meetings as required, ensuring effective communication and coordination within the Information Security Office and with external partners.

Physical Requirements

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.


Working Conditions

Work is performed in a hybrid environment.

Students will be required to work according to the current UEI remote workplace policy and sign a UEI telework agreement.
