Job description

The Purchasing & Materials Specialist is responsible for the "full life cycle" of purchasing and materials management. This involves the ordering, receiving, storing, and shipping of maintenance supplies, office supplies, equipment, and terminal supplies for all departments of the airport. The Purchasing & Materials Specialist shall also maintain accurate inventory records and create Purchase Order forms in response to computerized inventory levels. This position is also responsible for creating Purchase Orders for all departments of the airport. Must participate in snow removal activities. Perform any and all other tasks as required.
Essential Functions

  • Input and maintain computerized inventory control system.
  • Create Purchase Orders, other documents, and various reports as needed.
  • Integration, data entry, and interaction with various software.
  • Monitor available supplies, materials, and products to ensure that employees have access to frequently consumed supplies.
  • Place orders to replenish stock avoiding insufficiencies or excessive surplus.
  • Place orders for infrequently consumed items as needed.
  • Processes invoices for the Accounts Payable department in an accurate and timely manner.
  • Assist in Annual Internal Audit.
  • Obtain necessary approvals for the requisitioning, purchasing, receiving, and disbursement process.
  • Receive all incoming materials, check for accuracy against Purchase Order, and ensures they are placed in the appropriate warehouse or storage location.
  • Input and maintain fuel management system for the purpose of creating Preventative Maintenance Work Orders.
  • Load materials onto trucks.
  • Transports supplies to administrative offices.
  • Assist in maintaining the asset tagging system.
  • Maintain inventory and purchasing during snow removal operations.
  • Report unusual security situations to Operations.
  • Assist in the investigation of inventory shortages and discrepancies.
  • Assist in eliminating obsolete items from the inventory control system on computer.
  • Liaise between suppliers, manufacturers, relevant internal departments, and customers to answer questions and resolve problems.
  • Maintain a good relationship with suppliers to ensure smooth, efficient operations.
  • Maintain a good relationship with internal departments and customers.
  • Assist in determining quantity and timing of deliveries.
  • Prepare items for annual auction.
  • Send out inquiries to multiple vendors requesting price quotes.
  • Assures all purchased materials and services are procured to proper specifications.
  • Assures the economies of each transaction are in the best interest of the company.
  • Assures adherence to company policies, procedures, and practices.
  • Perform any other functions assigned.


Minimum Requirements

  • Graduation from high school, completion of a GED, or vocational school is required. A combination of education and experience that provide the knowledge, skills, and abilities to perform the duties of this position is preferred.
  • Two to three (2-3) years' experience in the following areas:
  • Materials purchasing.
  • Data entry.
  • Warehousing and material handling.
  • Basic accounting procedures.
  • Microsoft Office Suite (Word, Excel, Outlook, etc.); and familiarity with Adobe products.
  • Enterprise asset management software and fuel management systems.
  • Ability to perform all physical and cognitive tasks outlined in the job description.


Physical Requirements

  • Operate computer, adding machines, fax machines, and other office equipment.
  • Operate light and heavy equipment such as motor vehicles, forklifts, construction equipment, and power tools.
  • Lift up to 100 pounds.
  • Climb ladders and stairs.
  • Walk, crawl, stand, sit, push, pull, bend, stoop, squat, stretch.
  • Have full physical dexterity and agility.
  • Good hand/eye coordination.
  • Operate airport radios.
  • Ability to write, speak, see, and hear.

  • Listen, read, comprehend, retain, and follow oral or written instructions.
  • Ability to analyze complex problems and formulate effective solutions.
  • Strong communication and writing skills, including ability to communicate over the radio.
  • Excellent organizational skills, focused, high level of self-direction, and ability to plan and prioritize assignments.
  • Detail-oriented.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to properly fill out forms.
  • Maintain quality standards by performing inspections.
  • Control any fear of heights.
