Job description

The Cleveland Museum of Art seeks a Stewardship Engagement Coordinator in the Philanthropy and External Relations department. This position is the liaison for the Womens Council and Print Club Affiliate Groups, responsible for supporting their day-to-day operations and key philanthropic projects. This position also serves as a crucial support staff member for stewardship events and their administrative needs.
Requirements and Key Competencies

  • Bachelor's degree (B.A.) from a four-year college or university in business, art history, art/design, marketing/communication, or non-profit management, preferred.
  • Proficient in Microsoft Office 365 applications including Outlook, PowerPoint, SharePoint, Teams, Excel, Word, etc. Experience working with InDesign is helpful.
  • Effective and accurate verbal and written communication skills are necessary. Ability to write reports and correspondence and speak effectively with members and donors.
  • Flexible and solutions oriented with ability to maintain composure and work well under pressure to meet deadlines.
  • Ability to have a flexible schedule for some nights and weekends to support events as needed.
  • Ability to work effectively independently and within a team and thrive in a fast-paced environment.

Responsibilities
  • This position serves as the primary point of contact for the museum's affiliate groups - e.g. Womens Council, Print Club

    • Provide support for board meetings and attend as needed
    • Organize the membership renewal process and mailings for groups, including dues collection, acknowledgements, and solicitations
    • Support annual philanthropic fund drives and individual giving for assigned groups and their members

      • Coordinate largescale events and mailings to solicit gifts from members (i.e. Print Fair; Womens Council Philanthropic Fund) to support the museum's strategic initiatives collectively
      • Work with major gift officers to identify and cultivate individual donors within the groups, ensuring a good experience for them and deeper connection with the museum
      • Exemplify good donor relations practices with groups' members, in particular volunteer board members of the groups who are generously serving the CMA with their time

    • End-to-end coordination support for large-scale events, such as the four-day annual Print Club Fine Art Print Fair
    • Booking museum spaces, coordinating internal operations staff (such as AV, hospitality, and security), and organizing speakers for group meetings, events, and programs
    • Communicating group calendars, updates, and changes in timely manner with external and internal stakeholders.
    • Support groups during special events
    • Manage RSVP lists for group events
    • Coordinate, format, and send event invitations, newsletters, and other group communications
    • Responsible for managing and tracking group membership rosters and payment processing
    • Support groups with their special initiatives and projects
    • Serve as liaison for the groups with CMA staff, including curators

  • Carry out administrative support duties (e.g. Calendar and meeting management, paying invoices, maintaining supply inventory coordination, coordinating with support functions like IT, mail room, etc.), to ensure efficient operation of department.
  • Exhibit a professional communication style in person and over the phone when dealing with internal staff and members / donors.
  • Provide project management support for department projects.

Pay Range: $18-$19/ hourly
