Position
The Housing/Homesless Services and Recreation & Community Services Departments are each seeking a Staff Assistant (two separate positions) with exceptional process-oriented professionalism to provide administrative support duties for various projects. The position has technical and programmatic aspects, requiring the interpretation and application of policies, procedures, and regulations. The successful candidate will need to be comfortable working independently and have strong written and oral communication skills.
DEFINITION:
Under general supervision, a Staff Assistant performs specialized technical and clerical duties as well as routine administrative duties and supports professional staff with tasks and various projects and performs related work as required.
CLASS CHARACTERISTICS:Examples of Essential Functions
Performs specialized technical and clerical duties, and routine administrative support work; compiles, reviews, screens and analyzes varied technical and administrative information in accordance with standard department procedures and guidelines to complete processes and records; assists in the monitoring of departmental budget, processing purchase orders, accounts payable, and payroll; serves as a liaison between City professional staff and private firms doing business with the City to ensure that all procedural requirements are satisfied; develops records systems and maintains complex record systems; operates a computer terminal, entering, retrieving, and printing a variety of statistics, forms, lists, and charts; applies fundamental statistical techniques in analyzing data; compiles reports; drafts correspondence, agreements, narrative reports, procedures, resolutions, and other technical materials for supervisorial review; monitors assigned projects to ensure timely completion; conducts routine surveys and studies which may involve the development of forms, telephone contacts, and/or work in the field; attends evening public hearings, with or as a representative of department management; prepares minutes; operates City vehicles and performs related work as required.
Minimum Qualifications
EDUCATION AND EXPERIENCE:
LICENSE:
Possession of or the ability to obtain a valid California Class "C" Driver's License with a satisfactory driving record is required.
KNOWLEDGE OF:
Basic principles of composition and report preparation; fundamentals of administrative research; principles of record keeping; modern office equipment and procedures; computer terminal operating methods; basic public relations techniques; English usage, spelling, grammar and punctuation; business arithmetic and simple statistics.
SKILL IN:
Operating a typewriter keyboard with accuracy and efficiency; operating a computer terminal accurately and efficiently; operating a vehicle observing legal and defensive driving practices.
ABILITY TO:
understand pertinent procedures and functions quickly and apply them without immediate supervision; maintain accurate records; read, understand and apply difficult materials; proofread and detect errors in typing, spelling, grammar, and punctuation; plan and organize work to meet deadlines; prepare and present reports in tabular, graphic and narrative form; write in clear, concise, grammatically correct form; establish and maintain filing and record keeping systems; understand and carry out oral and written instructions; establish and maintain effective relationships with those contacted in the course of work.

SICK LEAVE
Full time employees receive 96 hours per year.
HOLIDAYS
Full time employees working the 9/80 flex schedule receive 99 hours of holiday leave per fiscal year to cover scheduled holidays as wells as one floating holiday

The City's Tuition Reimbursement Plan can assist employees in paying the cost of books and tuition for pre-approved classes which relate to their job.
RETIREMENT
Depending on eligibility, based on CalPERS criteria, new employees will be provided the 3% @ 60 Plan or newly established 2% @ 62 Plan. Employees currently contribute the entire employee contribution amount of 8%.
The City does not participate in Social Security, but employees must be enrolled in the Medicare portion.
