Position Summary
The Center on Global Energy Policy (CGEP) at Columbia's School of International and Public Affairs (SIPA) seeks a Senior Program Manager reporting to the Managing Director of the Carbontech Development Initiative (CDI). CDI is a first-of-a-kind, large-scale, carbontech market transformation and grant-seeding commercialization initiative, dedicated to fostering and promoting growth of the negative emissions sector through technology and human capital development, policy analysis, thought leadership, and ecosystem convening. The Sr. Program Manager will be core to CDI's leadership group and will be responsible for efficient execution of CDI's administrative and operational functions. The position will also provide guidance and support to program and project managers across CDI and collaborate with CGEP research teams.
They are responsible for daily operations of complex and strategic administrative and operational functions, including scoping projects, setting meeting cadences and agendas, establishing work plans, managing collaborators and direct reports, and mitigating risk. They establish processes to improve efficiency and minimize points of failure, and onboard new team members.
The candidate should be a great communicator, strategic thinker, and possess an aptitude for situational awareness of program statuses, risks, and opportunities. They should be able to fill operations gaps as needed without specializing in a specific program or research area.
Responsibilities
As CDI's Senior Program Manager for administration and strategic and complex projects, they will ensure that CDI's most vital projects are on track for success. They will independently coordinate and supervise workflow that may include support from other CDI staff..
Responsibilities include:
- Reporting on program progress and financials, project management of budgets and timelines
- Management of special projects (ex: continual improvement processes, redevelopment of CDI website, etc.)
- Maintenance and management of CDI-wide process and workload management systems (Salesforce, Monday.com, Submittable, project workload trackers)
- Management of awardee contracting and vendor management processes
- Management of awardee financial and progress reporting
- Supporting new hires and preparing and managing new hire onboarding
- Coordinating processes across CGEP, SIPA, and University-wide departments (ex: HR, Finance, Legal, Communications, etc.)
- Supervision of program-related communications and program solicitation project management, and
- Management of funding proposal development and submission processes.
Project Management
- Acts as the supervising project manager for complex projects spanning CDI's programs, involving collaboration with partners outside of CGEP, and be responsible for project management functions including:
- Identifying timelines and milestones for projects, ensuring deadlines are met.
- Reviewing task progress toward review and offering feedback to ensure review readiness.
- Establishing short- and long-term work plans, delegating or supporting delegation of work among internal and external collaborators.
- Managing funder check points and funder communications in coordination with the Managing Director.
- Coordinating with operations units in Finance, HR, SPA, etc.
- Maintaining awareness of university, school, and CGEP's policies and resources in support of research.
- Coordinating meetings, setting agendas and objectives.
- Assists in developing, implementing, and maintaining systems for program operations including systems and processes for:
- Tracking deliverables and deadlines across CDI.
- Tracking funding grant portfolios and funding development pipelines across CDI.
- Improving team knowledge of operations support functions.
Reporting
- Develops slide decks and reports in support of stakeholder communication and progress reporting.
- Manages funder portals for deliverables and progress report submissions.
Onboarding
- Manages new project onboarding and establishes essential functions for new project success.
- Supports hiring and onboarding of new CDI staff in collaboration with CDI's Managing Director and Associate Director.
Minimum Qualifications
- Bachelor's degree and 4-6 years of directly related experience in program or project support.
- A track record of exceptional project management, including experience managing complex projects of varying sizes, with competing timelines and diverse internal and external contributors.
- Strong understanding of principles of project management.
- Exceptionally organized, brings structure to unstructured processes.
- Exceptional verbal and written communication skills.
- Strong understanding of operations support functions (ex: HR, Finance, Legal, etc.)
- Strong understanding of operations support systems (ex: Excel, Word, Salesforce, etc.)
- Strong understanding of project budgeting and reporting.
- A track record of fostering an inclusive workplace where diversity and individual differences are valued and leveraged to achieve the vision and mission of the organization.
- Demonstrated ability to work under minimal supervision on complex assignments, with a high degree of initiative and independent judgment.
- Demonstrated ability to work nimbly on multiple projects simultaneously.
- Some travel to meetings and conferences both domestically and internationally will be required.
Preferred Qualifications
- Master's degree in a relevant field.
- Additional years of experience.
Experience with project management software such as Monday.com, Trello, Asana, etc. - Experience supervising small teams
- Project or program management certification (PMP or similar)
- Project or program management experience specific to academia, research, publications, and/or events
- Familiarity with different types of research funders and requests for proposals (RFPs)
- Strong analytical skills and strategic thinking to solve complex problems with excellent judgment based on analysis of multiple sources of information.
- Strong prioritization skills demonstrating selective use of time and resources to choose the most direct path to achieve results.
