Job Summary
The Specialist, Cataloging Library Assistant is expected to work as an innovative and collaborative staff member within the Access and Collection Services (ACS) Unit. The Specialist, Cataloging Library Assistant reports directly to the Head of Access and Collection Services. The incumbent performs technical services requiring a working knowledge of library science techniques and practices for interpreting, creating, editing, adapting, and verifying library records.
This is an Essential Reporting position. An employee designated as essential reporting has essential job skills that are needed for response and recovery, and is expected to report to campus as soon as possible.
Essential Job Duties
- Under general supervision, selects from established Institute policies, procedures, and practices to perform tasks that are difficult or complex including but not limited to bibliographic searches using a wide variety of manual and automated databases. Their daily priorities ensure smooth operations across library functions that include but are not limited to: circulation, interlibrary loan, document delivery, collections maintenance and preservation, acquisitions, cataloging and information services, archives, etc.
- Conducts and documents complex library operations projects alongside Reference Librarians on a regular basis while still maintaining appropriate cataloging records, documents, and reports related to Caltech Libraries purchasing activities.
- Supports the relationship between Access and Collection Services and Research Services through purchase and cataloging requests generated by library staff, faculty, and student needs.
- With a thorough understanding of bibliographic description, identifies known-item materials and organizes and maintains the arrangement and condition of the collections from Interlibrary Loan and Document Delivery (ILL/DocuServe), Circulation, Course Reserves, and our General Collection with book requests - both physical and electronic.
- Participates in the development and implementation of internal controls and procedures by participating in working groups that focus on cataloging development and closely working with the Systems and Discovery Librarian on open URL link resolver.
- Addresses complex or non-routine problems and issues appropriately while keeping the Head of Access and Collection Services informed.
- Participates in trade association activities that will benefit Caltech.
- Performs other related duties as assigned.
- At least 10 years of previous library work experience in a comparable position.
- Ability to apply comprehensive knowledge of cataloging and Caltech policies and practices to assignments.
- Excellent customer service and interpersonal skills that will support establishing and maintaining productive working relationships with a diverse group of faculty, staff, coworkers, and external partners.
- Must be able to exercise sound judgment and good decision-making skills.
- Ability to maintain a courteous and professional manner at all times.
- Must be able to work independently as well as part of a team while meeting deadlines, completing work on established schedules, and asking for assistance, if needed, to prevent delays in accomplishing tasks.
- Ability and willingness to learn new skills and functions as the operations and needs of the library evolve.
