Starting Pay: $24.82 per hour

POSITION SUMMARY:

The Special Events Coordinator is a key member of the Houston Food Bank’s Individual Major Gifts team and is directly responsible for the planning, implementation, and execution of our signature fundraising events – Backpack Blast and Chefs’ Dinner. The position provides leadership and support to event chairs and committee members, managing event solicitations, communication strategies, revenue, and expenses. The Special Events Coordinator will also support the team’s cultivation events and stewardship. In addition, this position will cultivate and steward a portfolio of individual donors.

ESSENTIAL JOB FUNCTIONS:

  1. Implements, and executes all event logistics for Backpack Blast, Chefs’ Dinner, and a minimum of two donor cultivation and stewardship events.
  2. Works with team leadership to develop revenue strategies for Backpack Blast, and Chefs’ Dinner.
  3. Updates and maintains event data in constituent relationship management database (Raiser’s Edge NXT) and works closely with Donor Services to ensure proper coding of event gifts.
  4. Establishes strong working relationships to provide leadership and support to event chairs and committees. Builds strong and effective relationships with external event chairs and committees to plan and execute events to the mutual satisfaction of them and the organization (daily or weekly, as needed)
  5. Manages, coordinates, and tracks event-related solicitations and communications in the constituent relationship management database (Raiser’s Edge NXT).
  6. Monitors income and expenses and conducts holistic ROI assessments for major events to clearly define success and determine future potential. Responsible for financial resources with annual pre-established event expense budgets and seeks pre-approval for expenses that will significantly exceed budget limits.
  7. Manages documents, and track records of in-kind event donations of goods and services.
  8. Manages communication strategies (online, mail, email) for events and targeted constituent groups.
  9. Plans and executes a minimum of two donor cultivation events annually and coordinates cultivation and stewardship events for both major gift and corporate teams.
  10. Stewards and cultivates portfolio of individual donors.
  11. Coordinates effectively with other internal departments and personnel to meet event logistics needs (daily).

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

QUALIFICATIONS:

Education/Experience:

  • Bachelor’s degree in Liberal Arts, Business Administration, or related field
  • 3+ years of experience directly related to donor cultivation, events, public speaking, and communication skills
  • 1+ years of fundraising event experience preferred

Certificates, Licenses, and Registrations:

  • Must have reliable transportation, a valid driver’s license, and insurance.

PHYSICAL REQUIREMENTS:

The employee will need to have the average ability to hear horns, warnings, and alerts associated with a warehouse.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those employee encounters while performing the essential functions of this job. While the job is generally performed in an enclosed office environment, the employee is occasionally exposed to wet and/or humid conditions, strong food-related smells, and outside weather conditions. The noise level in the office environment is typically quiet, but the employee will be occasionally exposed to loud noise levels (e.g., horns, fans).

TRAVEL REQUIRED:

This role supports hours of operations at the Houston Food Bank facilities, as necessary, and may require flexibility (e.g., times of disaster, community events, company events).
