GENERAL PURPOSE: Under general supervision, performs a variety of administrative functions for the Civic/Convention Center; supports local marketing efforts; prepares various types of departmental financial documentation; maintains records and files; responds to inquiries; and provides exceptional customer service to City staff, clients, vendors and the general public.
Primary Duties and Responsibilities
PRIMARYDUTIES AND RESPONSIBILITIES:

- Answers and directs incoming telephone calls and walk-in customers; provides facility information and assistance in person, by email, and via telephone; and greets visitors. Tracks and reports monthly inquiry data.
- Conducts a variety of general reception office duties including data entry, filing and copying documents, organizing event paperwork, preparing correspondence, and receipt of deliveries.
- Assists in local marketing efforts including social media posts, e-newsletter development, website updates, office handouts, and other items as directed by the Center Manager.
- Creates and schedules digital and print signage for marquee, video walls, room signs, and calendars.
- Performs general accounting and bookkeeping duties; accepts and processes payments, payment requests and purchase orders; prepares receipts, deposits, and cash reports.
- Assists in annual budget preparation and/or tracking of expenditures; performs project accounting as assigned.
- Updates and maintains records, filing systems, databases, lists, and displays; performs document scanning; coordinates the shredding of documents.
- Supports the department in ensuring events and documentation comply with Federal, state, and City policies, ordinances, and practices.
- Monitors and maintains the cleanliness and organization of office and beverage supplies/equipment based on established par levels; orders supplies, uniforms, name badges, and/or business cards.
- Fulfills event beverage service requests, including setting up a beverage station with appropriate equipment, replenishing as needed or instructed, and maintaining cleanliness of the area.
- Responds to client, guest, and management requests in a timely and professional manner.
- Maintains a professional relationship with City of New Braunfels employees, vendors, clients, and attendees.
- Performs other duties as assigned and or required.
Education, Experience, Licenses and Certifications
MINIMUM QUALIFICATIONS:
Education and Experience:
High School Diploma or GED equivalent; AND one (1) to three (3) years administrative/customer service experience; OR an equivalent combination of education and experience.
PREFERRED QUALIFICATIONS:
Experience:
- Three (3) years of hospitality experience (such as in an event facility, restaurant, hotel or catering company).
- Knowledge of the characteristics of a public event facility, service methods, social media, and graphics development.
- Bilingual highly preferred.
Required Licenses or Certifications:
- Must possess a valid Texas Driver’s License.
- Must obtain a current Food Handlers Certification upon hire.
Knowledge, Skills and Other Requirements
Required Knowledge of and Skill in:
- Customer service standards and protocol.
- Correct English grammar, composition, spelling, punctuation, and vocabulary.
- General office practices and equipment, including records management principles and standards.
- Efficiently operating a personal computer utilizing a variety of business software (Excel, Word, Power Point, etc,).
- Performing routine accounting duties.
- General concepts of social media.
- Effective communication skills, both verbal and written.
- Establishing and maintaining cooperative working relationships with clients, vendors, attendees, City employees, officials, and the general public.
- Ability to set priorities, make independent judgments, and multitask.
- Preparing correspondence, reports, and other departmental documentation.
- Maintaining and enforcing all aspects of security of confidentiality of information, documents and records.
Physical Demands / Work Environment:
- Work is performed in a public facility and small office environment; is subject to sitting, standing, bending and reaching for extended periods of time; and must be able to safely pull, push lift and carry items weighing up to forty (40) pounds.
- May be required to work immediately before, during or immediately after an emergency or disaster.
