Senior Program Coordinator
Location: Oakland
UnCommon Law is seeking a Senior Program Coordinator to join our in-prison programs team. The Senior Program Coordinator is a self-starter with the ability to anticipate and proactively address the needs and concerns of our various programs (like Home After Harm and our Pathways to Parole Success workshop series) and the people we serve. The position requires strong critical thinking skills and the ability to evaluate and make independent decisions about competing priorities that support the organization's overall objectives and agenda. This role involves significant coordination with outside entities like prison administrators and staff, community based organizations, and evaluation partners.
A successful Senior Program Coordinator will be able to manage multiple work streams simultaneously, work both independently and collaboratively as part of a team, and be detail-oriented. This role does not require going into prisons. This position creates the unique opportunity to work for a nonprofit leading the transformation of California's discretionary parole process, and to learn about California prisons and individual journeys through incarceration and release.

This position is exempt, based in the Bay Area, and has an annual salary of $74,100. This position will be required to be in-person in our Oakland office a minimum of two days per week (Mondays and Wednesdays) and the potential for this to increase based upon responsibilities and opportunities for in-person collaboration.
Examples of Duties and Responsibilities:
Program Logistics and Scheduling

  • Coordinate and organize gate clearances, event packets, donation approvals, and other tasks for UnCommon Law staff, volunteers, and partners for our in-prison programs
    • Monitor annual gate clearance requirements and support team members with timely submission of necessary paperwork
  • Plan program meetings and events, overseeing and coordinating events, identifying and booking venues, communicating with attendees and vendors, submitting invoices, and troubleshooting issues that arise
  • Draft, prepare, compile, and format project materials, including agendas, pamphlets, training materials, and other printed materials
  • Establish and manage program enrollment processes
Program Administration
  • Provide administrative support to Team Leaders on an as-needed basis
  • Track and maintain current and past program participants' parole hearing outcomes
  • Coordinate with Home After Harm team to timely prepare, maintain, and close participant files
  • Maintain Home After Harm Manual
  • Provide program operational support such as ordering supplies
  • Maintain client record management system (Clio)
  • Manage grant compliance tracking for multiple grants and draft grant compliance reports or portions of grant proposals
In-Prison Programs Non-Client Communications
  • Manage communication with non-clients, their families, prison staff, other attorneys, etc. (phone, email, mail)
  • Assist in and ensure timely mailing of outgoing program mail
  • Assist in and ensure timely processing of incoming program mail (scanning, saving to Box, logging in Clio) and requests for information or resources
  • Train new staff on mail processing and responding to non-client mail
Operations Support
  • Participate in data collection, entry, and analysis in support of organization goals, like parole hearing outcomes and assessing Home After Harm process and impact
  • Support communication and coordination with external partners
  • Track, save, and process in-prison program contractor invoices
Organization-Wide
  • Participate in regular staff meetings and trainings
    • Biweekly in-person attendance is required for Oakland-based staff (frequency is subject to change)
  • Occasionally participate in in-person team building activities and retreats
  • Occasionally assist in cross-team collaborative opportunities, such as policy, legal team non-client mail, and fundraising
Additionally, the Senior Program Coordinator will often be assigned work on a project basis and will be expected to manage the entire problem solving process, which includes researching and analyzing information, identifying and recommending potential solutions. They must work with a high degree of autonomy in a fast-paced work environment. The Senior Program Coordinator will support activities such as onboarding new hires, preparing reports related to program operations, and aiding the development of program operating procedures. The Senior Program Coordinator will perform other duties as required. Flexibility and willingness to adapt to the evolving needs of the program are essential.

Experience
  • Three or more years of experience in administrative support, operations management, or business administration
  • Greater than average experience with Microsoft Office Suite and Google Suite, and comfortable with computers and other technology in general
  • Experience working collaboratively with a diverse group of team members
  • Experience supporting people in settings such as prisons, jails, or social services is a plus (but not required)
Abilities and Attributes
  • Ability to work independently and take initiative to learn new skills and concepts
  • High attention to detail while reading, writing, and organizing information
  • Excellent time management skills and an ability to balance multiple work streams with competing priorities and effectively communicate about timing and expectations
  • High creativity, problem-solving mentality, and approach to overcoming obstacles
  • Excellent written and oral communication
  • Knowledge of a variety of administrative operational activities such as event planning, and contracts and grants regulations and guidelines
  • A willingness to approach participant work with kindness, non-judgment, and sensitivity to confidential matters
  • Compassion for incarcerated persons and their family members
  • Comfortability with Slack and client management software (strongly preferred)
