What You'll Do
- Directly oversee, supervise, and ensure the proper functioning of the Operations team.
- Provide mentorship and opportunities for professional development to your direct reports.
- Provides daily oversight and ensures proper functioning of Studio operations, including building systems, security, janitorial, landscaping, and parking.
- Ensures client and tenant satisfaction by meeting regularly with primary contacts, providing prompt follow-up on work orders, general correspondence, or resolving any issues with escalation to the Director as needed.
- Plans and directs the coordination of tenant events with the Operations team.
- Maintains vendor relationships for services such as landscaping, janitorial, security, parking, elevators, and engineering by meeting regularly and performing property inspections with third-party service providers.
- Provides work direction for on-site third-party contractors and studio staff.
- Collaborate on the bidding process for maintenance contracts, i.e., landscaping, janitorial, and security, to ensure the best cost and quality of service.
- Manages repairs and maintenance of sound stages, production offices, and common areas, working closely with all studio departments and clients for coordination.
- Maintains all permits, licenses, and fees required on all building equipment.
- Ensures all required equipment and system testing is performed as necessary and corrections are made in a timely manner.
- Support Construction and Engineering Departments in the bidding process and project progress for capital improvements and tenant improvements.
- Complete assigned capital improvement projects within the approved budget and calendar year.
- Respond to all emergencies on the property using Emergency Response guidelines, make immediate proper notifications, submit Incident Reports, and manage any follow-up repairs as needed.
- Oversees processing of property/liability insurance claims by interacting with adjusters and insurance consultants.
- Oversee and maintain certificates of insurance log process; confirm all tenants and vendors are up-to-date and compliant.
- Develops and prepares the annual operating budget.
- Responsible for the accuracy of client invoicing to ensure correct billing and projections.
- Monitors delinquent accounts receivables, follows up with clients or tenants and initiates collection activities when necessary.
- Prepares the monthly aged receivable reports to explain delinquencies for Director/Accounting Department review.
- Approve accounts payable invoices and purchase orders to ensure the use of the correct expense accounts and allocations among multiple properties.
- Follows a monthly process to reconcile operating expense accounts to the general ledger; oversees re-classes for any corrections.
- Prepares monthly reports to explain variances from expected revenue and operating expenses.
- Prepares monthly accruals for capital and operating expenses.
- Prepares monthly cash flow reports for capital expenses.
- Interfaces with the Leasing/Sales Department to facilitate leasing activity.
- Maintains all vacant spaces to be lease-ready for tours and seamless client move-ins.
- Miscellaneous projects as assigned.
What You'll Need
- Bachelor's Degree required.
- Minimum 2-3 years as a commercial Property Manager/Operations Manager.
- Excellent financial analysis skills.
- Supervisory experience and the ability to coach and train staff.
- Experience in studio operations or production in the entertainment industry is a plus.
- Excellent computer skills and demonstrated working knowledge of computers and software, including MS Office.
- Familiar with Yardi (accounting system) or similar.
- Polished professional demeanor with excellent written and verbal English communication skills to write memos, letters, reports and interact effectively with prospects, tenants, peers, vendors, and management.
- Ability to motivate direct reports and cross-functional team members to create a positive work environment and high morale.
- Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
- Ability to multi-task, attention to detail, with excellent follow-up skills.
- Ability to adapt to changing environments and perform in a fast-paced entrepreneurial environment.
- Maintain a professional demeanor around clients, executives, and on-lot talent.
Salary Range: $120,000.00 to $140,000.00 annually USD (subject to relevant experience)
